About This Position
The Outpatient (OP) Operations Supervisor is responsible for overseeing the day-to-day administrative and operational functions of the Outpatient Brain Injury (BI) and Spinal Cord Injury (SCI) Programs. This role provides direct supervision to administrative staff, ensures compliance with regulatory requirements, supports the Director of Outpatient Services to ensure efficient and optimal OP Program performance, supports clinical operations, and drives process improvements to enhance patient experience and staff efficiency. The OP Operations Supervisor partners closely with OP Admissions, Clinical Supervisors, and interdisciplinary teams to ensure seamless coordination of care, high-quality service delivery, and alignment with organizational goals.

Rate of pay: $42.75 - $61.56 per hour based on experience

POSITION REQUIREMENTS- Licensure/Certification/Registrations: BLS for the Healthcare Provider through the American Heart Association. Current clinical license/ certification/ registration certifications as required by licensure in the appropriate clinical field.
- Education: Graduate from an accredited college or university with a bachelor's degree or above required with an applicable clinical degree.
- Experience: 3–5 years of healthcare operations, program coordination, or administrative leadership experience with a neurologic population preferred. Strong knowledge of compliance, funding processes, and healthcare scheduling systems.
- Skills & Abilities: Excellent organization and customer service skills. Successfully handles multiple priorities and prioritizes and schedules accordingly. Successfully and effectively communicate with a variety of personnel. Demonstrate the ability to effectively communicate, problem solve and adapt to a fast-changing environment with competence. Demonstrates advanced team building, conflict resolution, and communication skills, both verbal and written as required, while maintaining harmonious relations among staff. Demonstrate strong attention to detail. Teaching subject matter to others or training others through explanation, demonstration and supervised practice or making recommendations on the basis of technical discipline. Ability to work competently and effectively under stress. Applies adaptive and fluid approaches to identify opportunities and initiate actions that advance OP program and hospital goals. Works collaboratively with other departments and physicians. Demonstrates behaviors that build and maintain trust and mutual respect with staff, other departments, and physicians. Proven analytical, problem-solving, and troubleshooting skills. Maintains confidentiality in all aspects of the position. Strong computer skills including Microsoft Office applications. Highly motivated with a positive attitude.
- Supervise and oversee OP administrative staff, including schedulers and registration staff.
- Lead onboarding, training, education, and succession planning for OP administrative team members.
- Conduct performance evaluations and provide mentorship for professional growth for administrative team members.
- Monitor, prioritize, and oversee OP administrative work queues and non-clinical productivity.
- Ensure adequate cross-coverage for administrative staff during PTO/LOA for consistent program support.
- Supervise OP scheduling processes, ensuring accuracy in orders, discipline coverage, and efficient use of staff/patient time.
- Coordinate with OP Admissions and Clinical Supervisors/Assistant Supervisors to manage schedules, productivity, utilization, and admissions.
- Help vet the appropriateness of OP admissions and services; provide guidance on the correct discipline mix.
- Organize and facilitate OP team rounds, conferences, and other collaborative meetings.
- Ensure orders and funding are complete for patients; track and follow up as needed.
- Assist staff with OP funding processes, including submissions, advocacy, ABNs/self-pay, and coordination with Case Management.
- Support clinical supervisors in OP compliance, funding, and scheduling processes.
- Ensure adherence to OP documentation, compliance, and regulatory requirements.
- Participate in compliance/regulatory-based incident reviews, root cause analyses, and safety concern escalation. Collaborate on patient experience and address escalated concerns promptly.
- Monitor and report key metrics (productivity, patient volume, cancellations, length of stay) and use data to drive improvements.
- Lead and support cross-disciplinary operational and process improvement initiatives.
- Participate in OP cross-disciplinary program development, long-term planning, and initiatives.
- Coordinate OP budget requests and resource planning with the Director of Outpatient Services.
- Act as a liaison between outpatient programs and other hospital departments (OP and IP).
- Support OP onboarding of staff from other departments (CCM, Psych, Nursing, TR, BCBA, etc.).
