Position Summary:

The Customer Service Assistant is responsible for providing excellent customer service and administrative support to the Recreation Services Department. This position coordinates facility bookings, processing of payments for user registrations, memberships, and other recreation services. This role plays a key part in supporting daily operations, including but not limited to responding to in-person, telephone and electronic inquiries, maintaining accurate records, and supporting system administration.

Key Responsibilities:
  • Provide excellent customer service, including responding to inquiries, providing information on programs and services, and assisting in resolving customer concerns.
  • Promote recreation programs, facility rentals, memberships and services, as needed.
  • Provide administrative support, including correspondence, reports, and record management.
  • Coordinate the facility booking process for recreation services, in accordance with departmental operating procedures.
  • Maintain accurate filing systems, program data, and departmental records.
  • Support Recreation staff with administrative tasks and operational coordination.
  • Provide administrative support with orders of stock and supplies.
  • Process payments, issue invoices, review and follow up on accounts receivable for facility rentals, programs, memberships, and other recreation services.
  • Monitor outstanding balances, follow up on overdue accounts, and maintain accurate receivable records.
  • Prepare and deliver bank deposits in accordance with municipal policies.
  • Support financial tracking, reporting, and reconciliation processes, including liaison with Finance, as required.
  • Maintain accurate records and financial data within the registration system.
  • Assist with the administration and reconciliation of program subsidy or financial assistance processes, as applicable.
  • Administer program registrations, memberships, and facility bookings using ActiveNet or similar systems.
  • Assist with system configuration, data entry, and ongoing maintenance of recreation systems to ensure accuracy.
  • Support tracking and reporting of program participation and facility usage.
  • Provide guidance and support to part-time staff, as required.
  • Support facility operations and assist in monitoring facility users and participants.
  • Provide support in risk management and health and safety for the facility by educating and reminding users of facility expectations, and reporting concerns or non-compliance to the supervisor.
Qualifications, Knowledge, and Skills:
  • Must have a two-year college diploma in Business or Office Administration, or equivalent experience.
  • Minimum one (1) year of administrative or customer service experience.
  • Experience with accounts receivable, invoicing, and general office procedures is preferred.
  • Must be proficient in computer applications in a Microsoft Windows environment.
  • Program registration/reservation software such as ActiveNet is considered an asset.
  • Must demonstrate strong organizational, communication, and customer service skills.
  • Valid Ontario Class “G” Driver’s Licence.
  • Possess First Aid, CPR-C, and AED certification (or ability to attain and maintain).
  • Experience in a recreation or municipal environment is considered an asset.
Hours of Work and Working Conditions:

This is a full-time position based on a 40-hour work week, with rotating day and afternoon shifts.

The role operates in a fast-paced environment that requires strong organization, attention to detail, and the ability to manage multiple priorities. Frequent interruptions are expected, and the incumbent must balance administrative responsibilities with front-line public service.
