Muskoka Lumber is a growing, professionally managed $80M regional business undergoing an exciting transition toward a modernized operating model. We are seeking a Receiving Coordinator to serve as a vital link between our store operations and Finance department.

This critical role ensures all incoming inventory is accurately received, verified, and recorded across multiple branches. Ideal for a highly organized professional who thrives in fast-paced environments, this position demands a commitment to high data accuracy and organizational procedures. As we scale, this role offers a clear growth path into sales or store operations (buying/purchasing/inventory).

Key Responsibilities:

As the Receiving Coordinator, you will ensure the accurate, timely, and controlled processing of incoming goods and documentation. In this role, you will:

  • Execute inventory cycles by matching invoices and packing slips to purchase orders, verify quantities and pricing, and perform timely data entry to maintain inventory integrity.
  • Provide purchasing support and assist buyers and purchasers with the creation of purchase orders while monitoring for price inconsistencies to ensure smooth inventory flow.
  • Coordinate multi-branch functions and operations through review and verification of documentation for accuracy across multiple branch and functional locations to maintain operational consistency.
  • Support financial accuracy and assist with statement reconciliations (TIM-BR MART), aid in payment processing, and resolve vendor-related discrepancies.
  • Support the Store Manager by assisting with store operations, as assigned, independently managing inter-branch transfers, assigned cycle counts and inventory tracking, while developing deep product knowledge.
  • Maintain safety, store standards and organization of records, following all health and safety policies and company standards to maintain a clean, safe work environment.

What you bring:

At Muskoka Lumber, we look for professionals who balance technical proficiency with a customer-centric mindset. Required skills, abilities, and attributes:

  • Ontario Secondary School Diploma or equivalent. Post-secondary education in Business Administration or Building Construction is preferred.
  • 1–2 years of experience performing administrative tasks and data entry with a focus on inventory.
  • Working industry knowledge of lumber, building materials, and industry-specific products.
  • Technical proficiency in Microsoft Office (Intermediate Excel) and experience with industry software such as BisTrack or Beanworks.
  • Strong numerical accuracy, excellent interpersonal skills, and the ability to maintain confidentiality.
  • Physical ability to perform essential duties, including lifting 50lbs (and occasionally up to 80lbs) to maneuver inventory.
