About This Position
Position Description:
The Events department at The Alamo is looking for a Community Events Coordinator to join the team!
Full-time with Benefits, including employer paid medical for employee, short term disability, paid time off, paid holidays, generous 401k match.
POSITION SCOPE
The Community Events Coordinator (the Coordinator) is responsible for planning, marketing, executing, and managing non-revenue generating events at the Alamo. This includes Alamo events such as Stars & Stripes Salute, Military Appreciation Day, and Commemoration of the Battle of the Alamo, as well as ceremonies, programs, and celebrations in coordination with community partners.
DUTIES, RESPONSIBILITIES & ESSENTIAL FUNCTIONS
Promotes the Alamo as a leading venue for community events, performances, and ceremonies
Assumes responsibility for maintaining effective relationships with community and legacy partners, and external stakeholders, vendors, and consultants
Receives and evaluates public performance requests from individuals, organizations and other groups
Works closely with fellow staff to develop programming for Alamo events
Represents the Alamo with a high level of partner relations and support
Maintains the community event annual calendar and develops plan for year over year development
Evaluates past events and identifies ways to improve
Demonstrates strong strategic thinking skills for current and future events, including new ideas and expansion of partnerships
Ensures that key personnel in the organization maintain awareness of community events, working with all departmental leadership
Schedules and coordinates use of specific spaces/venues for any onsite community events, ensuring events meet established standards, including security, event set-up/take-down, coordination with maintenance, and any other event needs
Provides guidance and vision recommendations for partners in a consultative manner regarding best practices, set-up, and trends
ESSENTIAL FUNCTIONS

Schedules and hosts preparatory site visits with partners and vendors
Generates appropriate contracts, secures required documents and ensures that vendors provide required evidence of insurance, as needed
On site point of contact during all community events
Oversees events setup and tear down
Maintains systematic information-sharing with key stakeholders on event requests and logistical coordination
Maintains master community events calendar
Provides additional project management and support, as directed
REQUIRED QUALIFICATIONS
Bachelors Degree preferred, or commensurate experience in event management, sales and marketing, or related professional area
Exceptional customer service skills
Excellent writing, communication, interpersonal, and problem-solving skills
Proficiency in Word, Excel, PowerPoint, and Outlook
Ideal candidate will be a proactive self-starter who excels at working in a dynamic and changing environment with a passion for customer service
Ability to manage and/or contribute to a high volume and wide range of projects at any given time
Exceptional organizational skills and attention to detail
Excellent skills at creating thoughtful and analytical presentations
Demonstrated ability to manage the everyday details of a project while focusing on the highest quality result
Demonstrated excellence at quantitative analysis to create insight and support results
Ability to see the big picture and propose creative solutions
Ability to multi-task, work well in a high-profile environment, and remain calm under pressure
