The Surgery Scheduler plays a key role in coordinating surgical procedures for orthopedic providers. Working closely with patients, physicians, hospitals, surgical centers, and insurance companies, this position ensures surgeries are scheduled smoothly and that all required documentation, authorizations, and pre-operative requirements are completed. Success in this role requires strong organization, attention to detail, and a commitment to delivering excellent patient service while maintaining confidentiality and regulatory compliance.

Requirements:
  • Schedule surgical procedures for orthopedic physicians at hospitals and ambulatory surgery centers.
  • Coordinate surgery dates, operating room availability, equipment needs, and surgical assistants.
  • Communicate surgery details, pre-operative instructions, and preparation requirements to patients.
  • Obtain and verify insurance information and secure prior authorizations when required.
  • Ensure all required documentation, consents, and orders are completed prior to surgery.
  • Coordinate pre-operative testing, imaging, and medical clearances as required.
  • Communicate with hospital or surgery center scheduling departments regarding case details.
  • Maintain accurate surgery schedules in the electronic medical record (EMR) system.
  • Update physicians and clinical staff on scheduling changes or special surgical requirements.
  • Provide patients with surgery packets and answer questions regarding the scheduling process.
  • Reschedule procedures as necessary due to provider availability, patient needs, or facility changes.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Assist with other administrative duties as assigned.

Qualifications:

  • High school diploma or equivalent required.
  • Previous medical office experience preferred.
  • Knowledge of medical terminology.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with electronic medical records and basic computer applications.

Physical Requirements

  • Prolonged periods of sitting and working on a computer.
  • Ability to communicate effectively in person and by phone.
  • Occasional lifting of office materials up to 20 pounds.

Work Environment

This position operates in a professional medical office environment within an orthopedic clinic.
