As a Project Supervisor, you’ll be a key driver behind Arena’s on‑site success. You’ll help turn plans into reality by coordinating schedules, crews, materials, and logistics to deliver safe, high‑quality event installations. 🏛️ How You’ll Support the Structure

You’ll support projects from early planning through final handoff, ensuring details, people, and timelines align.


Scheduling & Planning

Create and maintain production schedules in Smartsheet for assigned projectsDevelop and update shipping schedules to support timely deliveriesMaintain project trackers to ensure critical dates and milestones remain accurateCreate action logs for larger or more complex projects with clear, time‑sensitive milestones

Financial & Administrative Support

Complete Job Profitability Estimates (JPEs) prior to installationEnsure project budgets align with approved JPEs and annual budgetsUpdate weekly financial reviews and proactively communicate negative variancesReview assigned jobs in NAV prior to month‑end closeEnsure purchase orders are created for expenses not processed via company credit cardSubmit and reconcile weekly credit card expense reports

Safety & Compliance

Verify daily toolbox talks are conducted by crew leadsEnsure required job‑specific PPE is available and in useConfirm site safety checklists are completed by designated personnelEnsure accidents and near‑misses are documented and reported promptlyConduct job site inspections to confirm safety standards are met

Operational Coordination

Collaborate with Account Managers, Inventory, and Warehouse teams on ticket entry and job splitsPartner with Sales and Account Managers to address scope changes or billable damagesSchedule and lead project kickoff meetingsCoordinate with the Project Management Coordinator on JPE developmentCreate “Tools‑Needed” tickets in Alert for upcoming jobsWork with Inventory teams to resolve shortages or overbookingsConduct inventory spot checks on job sites as neededOrder scaffolding and concrete ballasts when requiredCommunicate daily benchmarks and schedule adjustments with site managers and crew leadsPartner with Logistics to resolve staffing shortages or contractor challenges

Customer Delivery & Quality Control

Communicate client expectations clearly to field crewsInspect installations throughout the build to ensure Arena quality standards are metProvide feedback to Logistics and Leadership on crew performance and support needsServe as the final quality checkpoint to ensure products are client‑ready and rental‑readyConduct final client walkthroughs and support official project handoff

We’re looking for someone who brings organization, field awareness, and a collaborative mindset.

    High school diploma, GED, or equivalent work experienceExperience supporting projects in events, operations, or related industriesStrong organizational skills with the ability to manage multiple prioritiesWorking knowledge of schedules, logistics, and on‑site coordinationAbility to read and understand basic diagrams, floor plans, and layoutsFamiliarity with structure types, sizes, and proper installation practicesComfort working in fast‑paced, deadline‑driven environmentsStrong communication and teamwork skillsWillingness and ability to travel 75% or more of the time
