About This Position
JOB DESCRIPTION JOB TITLE: Program Supervisor DEPARTMENT: Adult Services & Behavioral Health Services REPORTS TO: Program Director
ESSENTIAL JOB FUNCTIONS 1. Create a nurturing, positive learning environment and develop strategies to help the individuals cope effectively with social, emotional and physical situations of daily living and facilitate independent performance in these areas. 2. Must be able to utilize approved protective hold techniques in order to keep you, individuals, and co-workers safe; works with individuals who may potentially cause harm to you and/or others 3. 4. At all times is fully knowledgeable regarding each individual's Individual Plan of Service, programs, service needs, diets, medications and routines. Implements Individualized Plan of Service ensuring that all programs are implemented in a timely manner, that all staff are inserviced, follow individual programs, and document according to agency policy and state regulatory requirement. Conduct regular observation checks at all programs. Facilitate completion of quarterlies/IP reports and send them to the team in conjunction with the Program Lead and other team members. Monitor and provide care coordination medical, physical, and behavioral changes in individuals on a daily basis. Document and report any and all changes to the appropriate department, i.e. Nursing, PT, OT, Dietary or other consultants involved and the Director. 5. Supervises staff and takes steps to correct any and all errors observed in regards to individuals' programs and support needs; reports issues to Program Director. 6. Monitor all staff who are Medication Certified to ensure staff administers medications according to Medication Administration Policy. 7. Ensure the cleanliness of the home, inside and outside. Ensure the upkeep and maintenance of agency vehicles and request any maintenance needed for the vehicle or property promptly. Ensure that the monthly tickler is completed by the Program Lead. 8. Ensure that the individual's right to privacy is maintained and adhere to CRI's Confidentiality Policy. Rev. 7/10/23 9. Conduct oneself ina professional manner when interacting with supervisors, coworkers, consultants, families and members of the community. Must be a positive role model for staff and individuals. 10. Conduct monthly staff meetings, which includes the nurse and behaviorist, documenting content and attendance. Provide mandatory training to all staff (i.e, individuals programs, individual needs, and all aspects of their care) as required by agency policy and DDS/DSS requirements. If staff are no longer in compliance with their trainings, notify Program Lead to have them removed from the schedule. Notify HR and Program Director of non-compliance. 11. Ensure that individuals' have a structure, which includes: a variety of community-based outings, programs, Activities of daily living, leisure activities and positioning guidelines that meet active treatment standards. 12. Ensure that the program remains in compliance with DDS/DSS regulations, and be present at all inspections. 13. 14. Responsible for the finances in the home, including the use of petty cash, and individual funds including but not limited to: ensuring individual balances are below $1,200, Bank statements match the ledger, and individuals' cash on hand doesn't exceed $40.00 at months end. Provide accurate accounting of agency petty cash and individuals' funds in an informative, auditable condition as required or requested. Oversee transactions made by Program Lead and audit monthly. Report any discrepancies to Program Director immediately. Work with the Program Lead and Program Director to ensure programs stay within budget. 15. Ensure the Program Lead has scheduled staff to individual ratio, and ensure that safe staffing ratio is in place at all times, including medication administration coverage. 16. Familiarize oneself with CRI Policies and Procedures, ensuring compliance with same. 17. Rotate On-Call with Program Lead, and be responsible for the overall running of the residential program. 18. Monitor compliance to safety requirements including delegation of fire drills Program Lead. Maintain fire extinguishers and other safety related systems. 19. Responsible for interviewing and recommending to the Program Director, the hiring of new direct care staff. 20. Responsible for all timekeeping (ADP, manual timesheets etc.) in conjunction with the Program Lead. Will also be the liaison to the payroll department. 21. Maintain own training requirements per agency and DDS/DSS requirements. Ensure staff is aware of required trainings and meet agency and DDS/DSS training requirements. 22. Ensure individual incident reports are completed and approved as required to be approved by the Program Director and forwarded to the necessary regulatory body. Rev. 7/10/23 23. Work with all consultants to ensure necessary individual services recommended are implemented and followed as required. 24. Supervise staff on a daily basis. Supervision will relate to progressive discipline, evaluations, and support and direction. Maintain and update a supervision log on each staff. 25. Perform all other duties as delegated or requested by the Program Director, and/or Senior Director.
SUPERVISORY SKILLS PERSONAL SKILLS 1. Recognize, identify and quantify real or true problems. 2. Develop and implement action plans to rectify known problems. 3. Effectively evaluate action plan outcomes and adjust such plans as needed. 4. Understand, utilize and maintain Agency systems and operations. 5. Generate and develop new ideas to improve existing systems and operations. 6. Seek suggestions and new ideas from individuals and teams, and be able to provide feedback and/or develop such ideas when presented. 7. Present new ideas, programs and systems in a positive manner and build commitment towards successful implementation. 8. Acknowledge, listen and respond to individual concerns. 9. Establish trust and build rapport by communicating in a non-threatening manner. 10. Orally communicate to all levels of staff or groups in a clear, confident, concise and organized manner without being intimidating or superior. 11. Communicate in writing so that the reader(s) clearly understand the communication and the document presents your ideas in a logical manner.
MANAGEMENT SKILLS 1. Knowledgeable of Agency Policy and Procedures and all relevant Municipal, State and Federal licensing regulations. 2. Appropriately delegates authority and responsibility. 3. Monitors and tracks assignments given to staff for completion, accuracy and timeliness. Rev. 7/10/23 4. Ensures that all staff assigned to the program are trained and competent per Agency Policies and Procedures. 5. Establishes expectations for staff in terms of performance that ensures consumers receive the highest quality of services. 6. Provides on-going feedback to employees assigned regarding the quality of their work, compliance with Agency Policies and personal development needs. 7. Establishes an environment within the program where employees assigned are motivated, engaged, and provide on-going communication to the Supervisor regarding ways to improve services provided to individuals. 8. Takes total responsibility for the operation of the program or service from an administrative, management and budgetary perspective. 9. Implements Agency Policy on progressive discipline in a fair and consistent basis.
FACILITATION AND TRAINING 1. Develop individual and organizational talents, skills and competencies through coaching, feedback and reinforcement. 2. Empower individuals and teams by developing a sense of job and project ownership through communication of clear expectations, providing adequate resources, delegating responsibility and coaching while allowing the individuals and teams the opportunity to expand their scope of responsibility within clearly defined limits. 3. Provide meeting leadership, management and facilitation. 4. Encourage teamwork and collaboration by responding positively to requests for information, suggestions and assistance, sharing the credit for good ideas and disagreeing tactfully when necessary.
JOB REQUIREMENTS 1. Must possess a valid CT Driver's License, be able to drive own and agency vehicles and a good driving record. 2. Must have CPR, First Aid and Connecticut DDS Medication Certification within the regulations and time frames set by CRI. 3. Must be able to perform all job functions and duties that are required of the Residential Instructor and Program Lead. Must be able to perform all job functions required. Must be able to lift and transfer 70-751bs. The work is active and performed both inside and outside of the home. Rev. 7/10/23
EDUCATIONAL/PROFESSIONAL REQUIREMENTS Must have a Bachelor's Degree and two years of experience or Associate's Degree and three years of experience, or five years of experience in the Human Services field, with an emphasis on supervisory experience.
