Job Title: Office Manager

Department: Accounting

Reports To: Sr Director Business and Revenue, Administrative Staff

Office Manager Job Description: Join our dynamic team as an Office Manager, where you'll play a crucial role in ensuring our workplace runs smoothly and efficiently. You will lead administrative operations, support our team, and foster a positive and productive work environment. Office Manager Duties and Responsibilities::

  • Office Operations:
    • Manage day-to-day office administration and workflows
    • Ensure the office is stocked, organized, and running efficiently
    • Ensure incoming & outgoing mail is current and organized
  • Front Desk & Reception:
    • Greet visitors, answer phones, and route inquiries
    • Maintain professional communication with clients and staff
  • Administrative Support:
    • Coordinate meetings, calendars, and scheduling
    • Prepare and update documents, spreadsheets, and reports
  • Vendor & Facilities Coordination:
    • Liaise with vendors (IT, printing, office supplies, cleaning, maintenance)
    • Track service requests, subscriptions, and office-related expenses
  • Purchasing & Inventory:
    • Manage office supplies inventory and restocking
    • Process purchase requests and maintain inventory records
  • HR / People Support:
    • Assist with onboarding and basic HR documentation
    • Support employee schedules, leave requests, and general coordination
  • Compliance & Records:
    • Maintain organized filing systems (digital and/or paper)
    • Ensure company documentation is stored properly and confidentially
  • Process Improvements:
    • Identify gaps in office workflow and recommend improvements
    • Support implementation of new office systems/tools
  • Fleet Support:
    • Acquire registration, insurance, and manage maintenance logs for vehicles.
    • Organize and maintain a filing system

Office Manager Supervisory Responsibilities:

  • This position does not currently hold any supervisory responsibilities, but will require interaction within the department and with those outside the department and company.

Office Manager Decision-making Responsibilities:

  • This job has limited decision-making responsibilities, but initiative and a proactive approach are tantamount.

Office Manager Qualifications:

  • Required:
    • Experience: 2+ years in office administration, office management, or a similar role
    • Education: Bachelor's degree in Business Administration or related field
    • Strong organizational and multitasking skills
    • Proficiency in Microsoft Office / Google Workspace
    • Experience with office systems, vendor management, and scheduling tools
    • Professional communication skills (written and verbal)
  • Preferred:
    • Experience supporting multiple departments and executives
    • Familiarity with basic HR operations and onboarding workflows
    • Prior experience with tools such as Google Workspace and QuickBooks

Office Manager Competencies:

    • Prioritizes regular workload, special tasks, and concurrent projects, allocating time and resources to ensure that work is completed accurately and efficiently within an established time frame.
  • Basic Computer Skills
    • Quickly learns and achieves proficiency in new software applications as needed.
    • Demonstrates ability to create formulas in MS Excel; run queries in company software applications.

Office Manager Physical Demands and Work Environment:

  • Workspace
    • Office / cubicle workspace with moderate noise level.

    • Occasional extended hours, including weekends.
  • Physical Activity
    • Work is primarily sedentary and is performed in an office environment, and requires the ability to operate standard office equipment and keyboards
