The Guest Service & Concierge Coordinator is responsible for learning and supporting all aspects of the concierge experience while delivering exceptional guest service. This role serves as an ambassador of The Allison Inn & Spa, providing personalized recommendations, assisting with guest itineraries, and creating memorable experiences that reflect the luxury standards of the property. Under the guidance of the Concierge and Front Office leadership team, the Guest Service & Concierge Coordinator will develop expertise in local attractions, wineries, dining experiences, and resort amenities while gaining exposure to other Front Office functions.
This position is designed as a developmental role intended to prepare team members for a Concierge position through hands-on training, mentorship, and progressive responsibility within the Front Office department.
Duties & Responsibilities
- Welcome guests with a warm, genuine, and professional demeanor, creating a memorable arrival and departure experience.
- Learn to provide guests with recommendations for local wineries, restaurants, attractions, transportation, and activities while promoting The Allison Inn & Spa's dining, spa, and resort experiences.
- Assist in coordinating guest reservations, appointments, transportation, and customized itineraries.
- Develop extensive knowledge of the Willamette Valley, including wineries, seasonal events, dining options, and recreational opportunities.
- Support concierge operations by responding to guest inquiries via phone, email, and in person.
- Assist with Front Desk responsibilities, including guest check-in and check-out procedures, room reservation inquiries, and general guest assistance.
- Learn luxury service standards and anticipate guest needs to provide personalized experiences.
- Maintain accurate records of guest requests and follow through to ensure guest satisfaction.
- Collaborate effectively with all hotel departments to ensure seamless guest experiences.
- Participate in ongoing training and development opportunities related to concierge services, guest relations, and resort operations.
- Assist with Bell, Valet, Reservations, and other Front Office functions as needed.
Job Skills/Requirements/Qualifications
- High school diploma or GED required; coursework or degree in Hospitality, Tourism, Business, or a related field preferred.
- Previous experience in hospitality, customer service, tourism, retail, food & beverage, or guest-facing roles preferred.
- Passion for hospitality and creating exceptional guest experiences.
- Strong interpersonal, communication, and relationship-building skills.
- Professional appearance and polished telephone etiquette.
- Strong organizational skills with the ability to manage multiple priorities.
- Interest in learning about the Willamette Valley, local wineries, attractions, and regional tourism offerings.
- Proficiency with computers and willingness to learn hotel operating systems and reservation platforms.
- Positive attitude, enthusiasm, and commitment to continuous learning.
- Ability to work independently and as part of a team.
- Ability to work a flexible schedule including evenings, weekends, and holidays.
- Ability to communicate effectively with guests, team members, and leadership across the hotel, restaurant, and spa.
- Maintain a high degree of professionalism, ethics, and integrity.
- Successfully pass a pre-employment criminal background check.
- Must possess a valid driver’s license, pass a motor vehicle records check, be insurable on company insurance
Working conditions/Physical Requirements
- Able to be on your feet for extended periods of time.
- Must be able to perform simple grasping, fine manipulation, and repetitive hand and arm movements frequently
- Must be able to bend, squat, crawl, kneel, push, pull, and walk on uneven surfaces on an occasional basis
- While primarily an indoor job, must be able to walk outside in a variety of weather conditions to include rain, wind, heat, snow, ice.
- Must be able to climb stairs both inside and outside and frequently lift 20 lbs. and occasionally up to 50 lbs.
