Job Description

Borg Design is seeking an experienced Shipping & Logistics Coordinator to manage the accurate, compliant movement of materials and finished product into and out of our precision manufacturing facility. The position coordinates daily shipping and receiving activities, carrier logistics, customer delivery requirements, shipment documentation, receiving documentation, and related ERP and quality records.

This is a quality-sensitive aerospace and defense manufacturing role, not a basic shipping-clerk position. The successful candidate must understand how product identification, traceability, inspection status, certifications, First Article Inspection requirements, source inspection, document control, export controls, and customer-specific requirements affect whether product can be received or released for shipment. The position works closely with Quality, Customer Success, Production, Purchasing, Engineering, Inspection, Accounting, suppliers, customers, carriers, and outside processors.

Key Responsibilities

  • Review customer purchase orders, quality clauses, shipping instructions, delivery commitments, drawings, specifications, and other applicable requirements before preparing product for shipment.
  • Confirm that finished product has been properly released for shipment and that required inspections, approvals, and documentation are complete before product leaves the facility.
  • Prepare and verify complete outbound shipment and end-item documentation packages, as applicable, including packing lists, Certificates of Conformance, material certifications, special-process certifications, inspection reports, First Article Inspection documentation, source-inspection approvals, serial/lot traceability records, and customer-specific forms.
  • Maintain a strong working knowledge of AS9102 First Article Inspection requirements and recognize when full or partial FAI documentation, including re-accomplishment when required, applies; coordinate with Quality to ensure applicable FAI documentation is complete and approved before shipment.
  • Coordinate customer and Government Source Inspection (GSI) requirements, when applicable, including scheduling inspections, preparing product and documentation for review, tracking release status, and ensuring product is not shipped until required source-inspection approval has been obtained.
  • Prepare shipments using approved carriers and freight forwarders, including carrier labels, Bills of Lading, packing documentation, commercial documentation, and other required shipping records.
  • Coordinate daily logistics with National, International, LTL carriers, couriers, freight forwarders, and customer-designated carriers; schedule pickups, obtain freight quotes, track deliveries, manage expedited shipments, and assist with lost, delayed, or damaged shipment claims.
  • Package, preserve, protect, identify, and label finished product in accordance with customer requirements, company procedures, product requirements, and applicable aerospace quality requirements.
  • Process advance shipment notifications, customer portal entries, shipment confirmations, tracking information, and other electronic customer requirements accurately and on time.
  • Receive inbound material and product against purchase orders and packing documentation; verify part numbers, revision levels, quantities, packaging condition, and required certifications or traceability documentation before routing material for receiving inspection or internal use.
  • Identify incomplete, damaged, incorrect, suspect, or nonconforming inbound material and documentation; segregate affected product as required and promptly coordinate resolution with Quality, Purchasing, or the appropriate department.
  • Maintain accurate and timely receiving, shipping, carrier, tracking, and documentation records in the ERP system and controlled electronic or paper files.
  • Coordinate shipments to and from outside processors, suppliers, customers, and other external locations, ensuring the correct product, traveler, purchase-order information, documentation, and shipping instructions accompany each movement.
  • Coordinate customer returns, RMAs, returned material, and other reverse-logistics activities in accordance with company and customer procedures.
  • Follow document-control requirements to ensure current revisions, approved forms, controlled records, and required retention practices are used for shipping and receiving documentation.
  • Protect export-controlled information, Controlled Unclassified Information, customer information, and other sensitive records in accordance with company information-security and access-control procedures.
  • Support internal, customer, AS9100, regulatory, and contract audits by retrieving shipping, receiving, traceability, inspection-release, source-inspection, and related logistics records.
  • Monitor recurring shipment errors, documentation issues, carrier performance, freight costs, packaging concerns, and delivery risks; recommend practical improvements to shipping, receiving, documentation, and logistics processes.
  • Maintain an orderly, safe, and efficient shipping and receiving area and appropriate levels of approved packaging and shipping supplies.
  • Perform other related duties as assigned to support department and organizational needs.

Required Qualifications

  • Three or more years of hands-on shipping, receiving, logistics, order fulfillment, or related experience in a precision manufacturing, aerospace, defense, electronics, medical-device, or other regulated manufacturing environment.
  • Working knowledge of AS9100 quality-system requirements as they relate to shipping and receiving, product identification and traceability, preservation and packaging, documented information, product release, and control of nonconforming product.
  • Significant practical knowledge of AS9102 First Article Inspection documentation and the relationship between FAI status, customer requirements, inspection release, and product shipment.
  • Working knowledge of customer and Government Source Inspection (GSI) processes and the documentation and release controls required before shipment.
  • Experience reviewing customer purchase orders, quality clauses, drawings, part numbers and revisions, packing requirements, Certificates of Conformance, material certifications, special-process certifications, inspection records, and traceability documentation.
  • Experience preparing accurate shipment documentation, including packing lists, carrier labels, Bills of Lading, Certificates of Conformance, and customer-required documentation packages.
  • Experience using ERP/MRP systems and commercial carrier systems such as UPS, FedEx, DHL, or equivalent shipping platforms.
  • Strong document-control discipline, data-entry accuracy, organization, follow-up, and attention to detail.
  • Ability to identify documentation or shipment discrepancies, stop or hold a shipment when requirements are not satisfied, and escalate issues to Quality or management before release.
  • Ability to communicate professionally and coordinate effectively with customers, carriers, suppliers, Quality, Production, Purchasing, Engineering, Inspection, and Accounting.
  • Working knowledge of Microsoft Excel, Outlook, and other Microsoft Office applications.
  • High school diploma or equivalent.
  • Ability to meet applicable U.S. person eligibility requirements for access to ITAR-controlled or other export-controlled technical data and products associated with the duties of this position.

Preferred Qualifications

  • Three or more years of shipping, receiving, logistics, quality-documentation, or material-control experience in aerospace and defense manufacturing.
  • Experience in a high-mix, low-volume precision machining or job-shop environment.
  • Experience with manufacturing ERP systems; ProShop or JobBOSS experience is a plus.
  • Experience coordinating customer or Government Source Inspection (GSI) and preparing end-item data packages for aerospace or defense customers.
  • Hands-on familiarity with AS9102 First Article Inspection forms and supporting documentation, including full and partial FAI packages.
  • Familiarity with ITAR, EAR, DFARS, CMMC, NIST SP 800-171, Controlled Unclassified Information, and customer-specific information-handling requirements.
  • Experience with international shipping, freight forwarding, export documentation, customer portals, ASN systems, or EDI requirements.
  • Knowledge of aerospace packaging, preservation, ESD-sensitive handling, serialized or lot-controlled material, and special shipping requirements.
  • Forklift or powered industrial truck experience, or willingness and ability to obtain company-required training.

Compliance Requirements
Because this position requires access to ITAR-controlled technical data, defense-related products, and other export-controlled information, candidates must qualify as a U.S. person under applicable export-control requirements for the work assigned to this role. The position may also involve access to Controlled Unclassified Information or information associated with Department of Defense contracts and must follow all applicable company cybersecurity, access-control, document-control, DFARS, CMMC, and NIST SP 800-171 procedures. Any citizenship, work-status, or access requirement will be applied only when required by law, regulation, contract, customer requirement, or the specific duties of the position.

Physical and Work Requirements

  • On-site position in a precision manufacturing environment with regular work in shipping, receiving, inspection, inventory, and production areas.
  • Ability to stand and walk for extended periods and regularly handle packages, containers, and manufactured parts.
  • Ability to safely lift or move packages and materials weighing up to approximately 40 pounds; heavier items require team lifting or approved material-handling equipment.
  • Ability to use computers, scanners, printers, scales, shipping systems, ERP software, pallet jacks, carts, and other standard shipping and material-handling equipment.
  • Ability to work accurately in a fast-paced environment while managing multiple shipments, receiving activities, documentation packages, carrier deadlines, and customer priorities.
