Function of Position:
The FWD Center is seeking a proactive, organized, and technically skilled Part-time Advanced Manufacturing Technical Assistant / Lab Coordinator to support the operation of Advanced Manufacturing laboratories, equipment, instructional programs, and related program administration.
The primary focus of this position is to help ensure that Advanced Manufacturing labs, equipment, training systems, and instructional resources are properly maintained, organized, operational, and available for scheduled classes. Responsibilities include assisting with equipment troubleshooting, coordinating preventive maintenance, identifying and ordering replacement parts and instructional supplies, supporting instructors with lab setup, and maintaining accurate equipment and inventory records.
The position will also provide program coordination and administrative support to help ensure that student registration, attendance, funding documentation, training progress, credential completion, and other program requirements are properly tracked and completed.
The Technical Assistant / Lab Coordinator will serve as a program-level quality check and liaison by collecting required student information, forwarding appropriate documentation to Registration, verifying that students have been registered in the correct courses, and following up when discrepancies or missing information are identified.
The successful candidate will work closely with instructors, students, College departments, employers, vendors, high schools, and community partners to support the successful delivery of Advanced Manufacturing workforce development programs.

Examples of Duties & Responsibilities:
- Advanced Manufacturing Lab Coordination: Assist with the day-to-day operation and organization of Advanced Manufacturing laboratories, instructional spaces, equipment, tools, training systems, and related resources.
- Equipment Maintenance and Troubleshooting: Perform basic troubleshooting of Advanced Manufacturing equipment and training systems and coordinate with instructors, vendors, College departments, or outside service providers when additional technical support or repairs are required.
- Preventive Maintenance: Help establish and maintain preventive maintenance schedules for laboratory equipment and verify that required maintenance activities are completed and documented.
- Parts, Supplies, and Inventory: Monitor instructional supplies, replacement parts, consumables, tools, and equipment inventory. Identify needed items and coordinate quotes, requisitions, purchase orders, and purchasing activities with appropriate College personnel.
- Classroom and Lab Preparation: Assist instructors with preparing laboratories, equipment, computers, instructional materials, and training systems prior to classes and restore labs to an appropriate condition following instruction.
- Equipment and Asset Records: Maintain organized records of equipment, maintenance activities, repairs, replacement parts, software, warranties, vendor contacts, and other technical information associated with Advanced Manufacturing laboratories.
- Technical Classroom Support: Provide basic technical assistance during classes, including support for computers, instructional equipment, software, audiovisual systems, Amatrol training systems, and other classroom technology.
- Course and Student Registration Verification: Serve as a program-level liaison with the College Registration Department. Collect required student information received by the FWD Center, forward appropriate information to Registration, and verify that students are registered in the correct courses and that enrollment information is accurately reflected in applicable College systems.
- Registration Follow-Up and Quality Control: Review program rosters and registration information to identify missing students, incorrect course registrations, incomplete information, or other discrepancies. Communicate with Registration, students, employers, or other appropriate parties to help ensure corrections are completed.
- Course Setup Coordination: Assist with preparing and submitting required CIS and course setup documentation and verify that approved courses are properly established, activated, and displayed within applicable College systems and registration platforms.
- Funding and Payment Documentation: Maintain program-level documentation identifying student funding or payment sources, including Letters of Agreement (LOAs), M-Power, SUNY funding, employer payments, credit card payments, and other approved funding methods. Coordinate with appropriate College departments to verify required documentation has been submitted and follow up on outstanding items.
- Student Progress, Attendance, and Credential Tracking: Collect attendance information from instructors and maintain records of student course participation, Amatrol eLearning progress, SACA examination results, course completion, certificates, and industry credentials. Prepare reports as required.
- SACA Testing and Certificates: Assist with scheduling and proctoring SACA certification examinations, maintaining testing documentation, and coordinating certificates or completion documentation for eligible students.
- Scheduling and Operational Coordination: Assist with class, instructor, room, and laboratory scheduling and help identify and resolve conflicts involving classrooms, equipment, instructional resources, or program activities.
- Program and Partnership Support: Assist with FWD Center tours, program promotional activities, employer and high school outreach, meeting documentation, and maintaining organized contact information for employers, schools, vendors, and community partners.

Required Qualifications:
- Ability to assist with routine equipment inspection, preventive maintenance, basic repairs, and identification of replacement parts or service needs.
- Strong computer skills and the ability to learn and support software associated with instructional equipment and technical training systems.
- Proficiency with Microsoft Excel, including the ability to organize and track student, equipment, inventory, maintenance, and program information.
- Proficiency with Microsoft Office applications, including Word, PowerPoint, Outlook, and Calendar.
- Strong organizational and project coordination skills with the ability to manage multiple assignments, priorities, and deadlines.
- Demonstrated ability to maintain accurate records, documentation, inventories, reports, and tracking systems.
- Strong problem-solving skills and the ability to independently investigate issues and coordinate appropriate follow-up.
- Excellent interpersonal and communication skills with the ability to work effectively with students, instructors, employers, vendors, College departments, and community partners.

- Ability to work with multiple information systems and databases and accurately enter, review, and maintain program information.
- Ability to coordinate purchasing activities, obtain vendor quotes, track orders, and maintain information regarding parts, equipment, supplies, and software.
- Ability to communicate basic technical information and provide first-level troubleshooting support to instructors and students.
- Experience using virtual communication and collaboration tools such as Microsoft Teams and Zoom.
- Ability to develop and maintain reports related to equipment, enrollment, attendance, student progress, credentials, and program outcomes.
- Ability to support laboratory and classroom scheduling and coordinate resources for multiple training programs.
Preferred Qualifications:
- Associate's degree or higher in an engineering technology, manufacturing, industrial technology, business, information technology, or related field.
- Previous experience maintaining or troubleshooting Advanced Manufacturing equipment.
- Experience with automation, robotics, PLCs, electrical systems, pneumatics, hydraulics, motors, controls, or industrial equipment.
- Experience with FANUC, Amatrol, SACA, or similar industrial training equipment and credentialing systems.
- Experience with equipment inventory management, preventive maintenance, purchasing, parts procurement, or vendor coordination.
- Previous experience with Banner, CampusCE, or comparable student information and continuing education registration systems.
- Experience with Ad Astra or similar classroom scheduling software.
- Experience using a Learning Management System or technical eLearning platform.
- Experience working in workforce development, higher education, continuing education, career and technical education, or industry training.
- Experience working with employers, high schools, workforce organizations, and community partners. Familiarity with artificial intelligence and other emerging technologies that may be used to improve administrative, technical, instructional, or reporting activities.
- Bilingual and able to read, write, and speak Spanish, or other languages, proficiently
Additional Information:
Hourly Rate: Hourly Rate is determined based on experience, internal equity, and college budget. This position has a range of $20 to $26 hourly and is based on these factors.
Work Schedule: Dependent on course offer. Typical classes could be 2 to 3 classes per week (each 4 hours long) and can range from 2 to 4 months. The exact days of the week and overall length of the entire course offering will be spelled out in a Letter of Agreement.
