JOB OVERVIEW

The Assistant Program Director supports the Program Director in the oversight and administration of shelter operations. This role ensures continuity of services and compliance with regulatory requirements while promoting a compassionate, safe, and structured environment for families in residence. The Assistant Program Director is a key member of the leadership team, helping to manage staff, resolve client concerns, and maintain operational standards.

ESSENTIAL JOB FUNCTIONS

  • Ensure and monitor 24-hour coverage as required by state regulations, including weekends, holidays, and emergencies.
  • Support the Program Director in supervising daily shelter operations, including weekend and holiday coverage coordination.
  • Provide administrative and limited clinical oversight to designated shelter staff.
  • Monitor facility cleanliness, safety, and readiness for DHS inspections.
  • Participate in client intake, room readiness, and case assignment processes.
  • Assist with scheduling, staffing documentation, timekeeping, and shift coverage plans.
  • Ensure services are delivered to clients in alignment with DHS and OTDA standards.
  • Assist with incident reporting, facility logs, and CARES data entries.
  • Maintain accurate records of petty cash, inventories, and supply needs.
  • Conduct periodic unit inspections and address facility repair needs promptly.
  • Collaborate with the Program Director and HR on interviewing and onboarding new hires.
  • Act as the point person in the Program Director’s absence for operational issues and urgent matters.
  • Attend internal meetings and DHS calls as needed, and report outcomes to the Program Director.
  • Document supervisory notes and assist with performance evaluations and corrective actions.
  • Perform other related duties as assigned.

SUPERVISORY REPORTS

May supervise designated Social Service and Operations staff under the direction of the Program Director.

EDUCATION & EXPERIENCE

  • Master’s degree in social work preferred
  • Bachelor’s degree in social work, Human Services, or related field required
  • At least 2 years of experiences in a shelter, residential, or human services setting
  • Must have at least 2 years Supervisory experience

QUALIFICATIONS & PREFERRED SKILLS

  • Strong administrative and organizational skills
  • Ability to maintain composure during high-pressure situations
  • Excellent interpersonal, written, and verbal communication skills
  • Familiarity with DHS CARES system and shelter regulations
  • Proficient with Microsoft Office (Word, Excel, Outlook)
  • Ability to handle confidential matters with discretion
  • Adaptable and capable of managing multiple priorities
