About the Position
We are seeking a confident, highly motivated, and customer-focused Criminal Defense Intake Coordinator to join our growing Criminal Defense Department. This is a fast-paced, high-impact position that serves as one of the first points of contact for individuals seeking legal representation. The Intake Coordinator will be responsible for screening potential clients, identifying qualified leads, scheduling consultations, gathering critical case information, and ensuring a professional and compassionate experience from the first interaction. The ideal candidate is someone who can communicate confidently with people who may be experiencing stressful or difficult circumstances, while remaining empathetic, professional, organized, positive, and results-oriented. This position requires someone who can balance exceptional client service with strong follow-up, organization, and attention to detail. The successful candidate will work closely with Attorneys, Management, and other members of the team to ensure potential clients receive timely and professional assistance.
Key Responsibilities
- Serve as the initial point of contact for potential criminal defense clients through phone, email, and other communication channels.
- Screen and qualify potential clients by gathering detailed information regarding their legal needs and circumstances.
- Conduct professional and empathetic intake conversations while maintaining confidentiality and professionalism.
- Schedule consultations and appointments with Attorneys based on established qualification criteria.
- Gather accurate and comprehensive client information and case facts for Attorneys to review.
- Maintain accurate records of leads, appointments, consultations, outcomes, and follow-up activities.
- Conduct consistent outbound follow-up with potential clients to maximize conversion opportunities and ensure timely communication.
- Monitor leads and appointments throughout the intake process and identify opportunities for additional follow-up.
- Communicate effectively with Attorneys, Management, and team members regarding potential clients and case information.
- Prepare and provide accurate statistics, metrics, and reports to Management.
- Utilize Microsoft Excel and other Microsoft Office programs to maintain records, track performance, and prepare reports.
- Meet established intake, follow-up, scheduling, and performance expectations.
- Maintain a positive and professional attitude while working in a high-volume environment.
- Collaborate with team members to improve the overall client intake and customer experience.
- Protect confidential client information and adhere to company policies and procedures.
- Perform other duties as assigned.

Required Qualifications
- Previous experience in a legal, law firm, intake, sales, customer service, or client-facing environment
- Knowledge or familiarity with Criminal Defense Law
- Strong verbal and written communication skills
- Excellent customer service skills
- Strong sense of responsibility, reliability, and accountability
- Ability to maintain professionalism and confidentiality
- Proficiency with Microsoft Office programs, including Excel
- Ability to work effectively both independently and as part of a team
Preferred Qualifications
- Previous criminal defense law firm experience
- Prior legal intake or legal client services experience
- Experience with lead tracking, appointment scheduling, or client conversion
- Bilingual skills are required
