This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior Scheduler - West Coast based in the United States.
As a Senior Scheduler, you will play a key role in delivering a seamless, high-touch experience for clients while supporting account management and operations teams.
You will coordinate complex deposition schedules, manage changing priorities, and ensure every logistical detail is handled accurately.
The role combines client communication, administrative coordination, problem-solving, and operational execution in a fast-paced environment.
You will act as a trusted point of contact for scheduling requests, client preferences, and time-sensitive needs.
Success requires strong organization, attention to detail, sound judgment, and the ability to remain composed when priorities shift.
You will collaborate closely with cross-functional teams while knowing when to independently resolve issues and when to escalate them.
This is a fully remote opportunity designed for someone who enjoys operational ownership and delivering exceptional client service.
- Manage complex and high-priority scheduling and rescheduling requests, adapting quickly to changing priorities while keeping all stakeholders informed.
- Coordinate depositions and related services, ensuring logistical details, client preferences, and scheduling requirements are accurately captured and communicated.
- Deliver a high-touch, client-focused experience by understanding individual preferences and communicating relevant information to internal teams.
- Monitor and triage incoming requests through Zendesk, routing issues and inquiries to the appropriate operations team or account manager.
- Handle challenging client interactions professionally, de-escalating concerns when possible and escalating issues to the Scheduling Manager when appropriate.
- Partner with the Scheduling Manager to obtain and maintain service agreements for assigned accounts.
- Collaborate with account management and cross-functional operations teams to ensure client needs are addressed efficiently and accurately.
- Maintain a high level of confidentiality and professionalism when handling sensitive client and legal information.
- Work consistently within the required 9:00 a.m.–6:00 p.m. Pacific Time schedule.
- At least 1 year of experience in administrative, coordination, or operational support, preferably within a court reporting agency, law firm, legal services organization, or similar environment.
- Strong proficiency with technology, software, and cloud-based applications; experience with Google Workspace and Slack is preferred.
- Excellent written and verbal communication skills, with strong listening abilities and a professional, client-oriented communication style.
- Exceptional attention to detail and the ability to efficiently follow highly detailed processes while maintaining accuracy.
- Strong organizational, prioritization, and time-management skills, with the ability to manage multiple competing requests.
- Ability to learn new systems and processes quickly and confidently adapt to changing workflows.
- Demonstrated integrity and discretion, with the ability to maintain confidentiality when handling sensitive information.
- Strong judgment and problem-solving skills, including the ability to determine when an issue should be resolved independently or escalated.
- Flexibility and comfort operating in an environment where priorities can shift and ambiguity may arise.
- A proactive, collaborative mindset and enthusiasm for working in a fast-paced, rapidly growing technology environment.
- Availability to work 9:00 a.m.–6:00 p.m. Pacific Time.
- Hourly compensation: $28–$32 per hour.
