About the Role
As a Mail Processes Specialist, you'll serve as the vital link between hardcopy and soft-copy documents, ensuring both client and company requirements are met every step of the way. You'll work hands-on with incoming and outgoing mail, scanning equipment, and indexing software to keep documents moving accurately and securely through our systems.
What You'll Do
- Process incoming mail — opening, identifying clients, assessing document criticality, prepping, scanning, and retention — in accordance with company and client procedures
- Create balance control spreadsheets for payments received via incoming mail and perform quality assurance review prior to hand-off to Payment Processing
- Gather, prep, and scan documents received from clients, including quality assurance review
- Perform quality assurance review, prepping, and posting of outbound mail
- Use Datacap software to index correspondence to accounts, following all company and client procedures
- Help maintain the imaging room and scanning equipment
- Provide backup support to the Mail Processes Manager, including troubleshooting batch issues and quality assurance procedures as needed
- Understand and adhere to company information, security, and privacy policies
- Associate's degree or equivalent experience
- Strong attention to detail and ability to prioritize and multi-task
- Ability to work with minimal supervision while showing initiative
- Clear verbal and written communication skills
- Proficiency with Microsoft Office (Excel and Word)
- Comfortable suggesting process improvements while maintaining document control standards
- Ability to sit or remain at a workstation for the duration of a shift
- Regular, reliable attendance
