A full-time Cadet Shipping Coordinator is needed to provide dedicated oversight of SUNY Maritime's Cadet Shipping/Cadet Observer program, including student preparation and placement, industry relationships, sea-service documentation, and coordination with commercial vessel operators while assisting license requirement.
The position would be housed within the USCG Licensing Office, reporting to the Director of MET, with Cadet Shipping as its primary portfolio while also supporting licensing and credentialing activities as needed. This integrated approach provides clear ownership of Cadet Shipping while adding capacity, cross-training, and continuity to the broader Licensing operation.
Primary Responsibilities
The Coordinator would manage the Cadet Shipping/Cadet Observer process from preparation through completion, with responsibilities including:
Develop and maintain relationships with commercial shipping companies, vessel operators, labor organizations, government agencies, and other maritime partners to identify and expand cadet billets and observer opportunities.
Coordinate available billets and match qualified deck and engine cadets with appropriate commercial vessels.
Manage student applications, eligibility review, selection, placement, pre-departure requirements, and post-shipping documentation.
Verify that cadets have appropriate MMCs, TWICs, medical certificates, passports, drug-testing documentations documentation, and other required credentials before assignment.
Coordinate with Licensing, academic departments, and the Regiment of Cadets to verify student eligibility.
Serve as a primary College contact for students and employers before and during commercial assignments, including coordination when safety, medical, conduct, travel, or placement issues arise.
Track sea service and ensure that discharge certificates, sea-service letters, and other required documentation are obtained and incorporated into students' licensing records.
Conduct pre-shipping orientation addressing safety, professional expectations, shipboard conduct, reporting requirements, and required documentation.
Maintain accurate records of employers, vessels, assignments, sea days, student completion, and available billets.
Develop sustained industry relationships that strengthen both cadet opportunities and pathways to employment following graduation.
Integration with Licensing and Credentialing
The position would be a member of the USCG Licensing Office, rather than an independent Cadet Shipping operation. During periods when Cadet Shipping activity is less intensive, the Coordinator would provide additional capacity for licensing and credentialing functions, including:
Assisting students with MMC applications and renewals and associated USCG documentation.
Reviewing licensing and credentialing records for completeness.
Tracking MMC, medical certificate, TWIC, and related credential requirements.
Maintaining and verifying student sea-service records.
Assisting with STCW, drug-testing, and sea-service documentation.
Advising students regarding credential deficiencies and licensing requirements.
Supporting preparation and review of student licensing files and other Licensing Office priorities.
The arrangement would work in both directions. Existing Licensing staff could assist with credential verification and documentation during periods of intensive Cadet Shipping activity, while the Coordinator could support broader licensing operations during other periods.
This cross-training is particularly important in an office responsible for highly specialized federal requirements. It reduces reliance upon individual employees, increases continuity when staff are unavailable, and provides greater capacity during periods of high student demand.
Institutional Impact
Cadet Shipping is more than a mechanism for accumulating sea days. Commercial assignments expose students to actual industry operations, different vessel types, employers, operating environments, and professional expectations. They also provide direct connections between students and potential employers and are an important complement to the experience students receive aboard the training ship.
The position therefore supports several institutional priorities simultaneously:
Licensing and graduation. Failure to obtain or properly document required sea service or maintain required credentials can delay licensing and potentially graduation.
Student safety and oversight. Cadets may spend extended periods aboard vessels operating nationally or internationally. The College requires a clearly identified professional responsible for knowing where students are placed, maintaining employer relationships, and responding when problems occur.
Regulatory compliance. USCG credentialing is documentation-intensive. Errors involving sea service, medical documentation, MMCs, STCW requirements, or license applications can have significant consequences for students.
Industry relationships and employment. A dedicated coordinator can develop additional commercial billets and strengthen relationships with maritime employers. Cadet assignments also frequently serve as an introduction between students and companies that may ultimately employ them.
Licensing Office capacity. Because the position is integrated into Licensing, the investment adds professional capacity beyond Cadet Shipping alone and creates needed cross-training and redundancy within a highly specialized operation.

Required Qualifications:
Bachelor's degree
Experience working with college-aged students in a professional capacity
Practical Industry experience
Excellent oral, written and presentation skills
Collaborative, self-directed, outcome-oriented, detail-oriented and ability to work well under time constraints
Proficiency with Microsoft Office suite
Possession of a valid Driver's License. Must have a motor vehicle record which is free from major violations or a pattern of repeat violation
Possession or ability to obtain within three months of hire a Transportation Worker's Identification Card (TWIC)
Ability to travel (occasionally overnight) to engage in networking events with industry and alumni Some evening and weekend work required
Preferred Qualifications:
Maritime Academy graduate from a license option program
Crewing, dispatching experience
Working knowledge of Regiment of Cadets
Additional Information:
Classification/Salary Range: The Cadet Shipping Coordinator is a UUP position. The anticipated salary range for the position is $65,000 to $70,000.00 annually, with an outstanding benefits package. Special Notes: This is a full-time calendar year appointment UUP Position. Fair Labor Standard Acts (FLSA) Exempt position, not eligible for the overtime provisions of the FLSA. Internal and external search to occur simultaneously.
