Job Description

Job Title: Retail Warehouse Supervisor

Department: Retail Warehouse

Reports To: Retail Inventory Manager

FLSA Status: Hourly/Non-exempt

Summary:

The Retail Warehouse Supervisor oversees day-to-day receiving operations and inventory management across all retail outlets. This role drives inventory accuracy and collaborates on strategic receiving planning for store locations. The supervisor works directly with the Retail Inventory Manager and provides daily leadership to Retail Clerks and Administrative Assistant.

Essential Duties and Responsibilities

  • Manage receiving operations and maintain accurate physical inventory across all outlets.
  • Reconcile packing slips against outlet Purchase Orders to ensure shipment accuracy.
  • Prepare Purchase Order paperwork for orders along with printed merchandise tags for all incoming goods before distribution.
  • Organize and maintain organization of all Purchase Order files open and/or closed.
  • Effectively work with buyers, supervisors, and managers within the facility to meet daily productivity and service goals for the distribution center.
  • Manage embroidery for all applicable outlets- including receiving and payments to embroiderers.
  • Enforce warehouse best practices, taking direct ownership of stock room organization, shipment receiving, inventory preparation, damaged goods logging.
  • Maintain vendor relationships by handling communications regarding invoice processing, statement reconciliations, purchase orders and billing discrepancies.
  • Manage Return to Vendor (RTV) process for all store outlets, taking full ownership of identifying defective items, securing approval authorizations, generating shipping labels, and managing outward logistics.
  • Ensures quality work is being delivered to each outlet, verifies orders are tagged properly before departure from warehouse.
  • Support in resolving unidentifiable shipments (“Problem Pile”) in a timely manner by collaborating with outlet teams to cross reference and verify order ownership.
  • Execute End-of-Year closure processes, ensuring all financial year orders are finalized, accounted for, and closed out.

Qualifications

Previous retail warehouse experience.

Prior receiving, delivery and/or inventory experience preferred.

Education and/or Experience

Any combination of education, training or experience that provides the required knowledge, skills and abilities. Computer knowledge a must, with knowledge of Birchstreet, Agilysys or a similar procurement system. Microsoft Excel, Outlook, Word .

Language Skills

Must read, write, and speak English with professional fluency in order to understand complex job assignments, maintain highly accurate records, and communicate clearly with the team. Must possess the basic math skills necessary to complete daily receiving and process vendor invoices.

Reasoning Ability

Detail oriented and consistently able to meet critical deadlines.

Can work in a fast-paced environment

Attendance, Appearance and Conduct:

Regular attendance in conformance with the standards, which may be established by Ocean Reef Club from time to time, is essential to the successful performance of this position. Associates with irregular attendance will be subject to disciplinary action, up to and including termination of employment.

Due to the cyclical nature of the hospitality industry and report deadlines, associate may be required to work varying schedules to meet the business needs of the Club and report deadlines.

Proper grooming is required by all associates and is described in detail in the Associates Handbook. Associates should review this policy and make sure that at all times they present themselves for shifts looking clean, neat and professional.

As a condition of employment, all associates agree to fully comply with Ocean Reef Club rules and regulations for the safe and efficient operation of Club facilities. Associates who violate Club rules and regulations will be subject to disciplinary action, up to and including termination of employment.
