Job Summary: The Corporate Operations & Dept Support Coordinator works with managers and staff members through strong collaborative teamwork to ensure administrative tasks are completed and business functions efficiently. This role provides operational and administrative support to the Corporate Operations department while also coordinating selected office-based support tasks associated with civil and survey operations. The position includes internal coordination responsibilities that support field crews, records, equipment tracking, document submissions, and departmental logistics. The Corporate Operations & Dept Support Coordinator is expected to demonstrate RLG’s core values through teamwork, high quality work, and commitment to the clients through supporting project objectives.

The Corporate Operations & Dept Support Coordinator will undertake a variety of administrative duties and must be able to work autonomously and efficiently to support the end-to-end running of administrative projects and operations. Ultimately, this role contributes to the attainment of specific goals and results for the Corporate Operations department and the organization.

Supervisory Responsibilities: The Corporate Operations & Dept Support Coordinator will report to the HR & Corporate Operations Manager. They will work on multiple assignments with overlapping schedules and will need to have strong multitasking skills, and the ability to delegate work as needed.

Essential Duties / Responsibilities:

- Answers phone calls, schedules meetings and supports visitors

- Assist Managers with operational issues

- Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.

- Schedules meetings and team building sessions

- Order lunches for meetings, training, and lunch-and-learn events.

- Answers questions of staff and other shareholders

- Provides excellent customer service and maintains relationships with vendors

- Prepares and files forms and other documents

- Assists with recruitment and onboarding processes

- Analyzes operations and provides suggestions for improvement as needed

- Organize and maintain receipts from field crews

- Maintain equipment records, maintenance schedules, and calibration documentation

- Maintain vehicle maintenance logs and vehicle service schedules

- Coordinate safety meeting and maintain documentation for safety trainings

- Coordinate the ordering of supplies for the office, events, and department needs

- Coordinate and complete the submission and documentation of plats, easements, tax certifications, and other required documents with city and county offices

- Performs other related duties as assigned

Requirements:

- Strong interpersonal skills

- Strong organizational and time management skills

- Analytical abilities and aptitude in problem-solving

- Excellent written and verbal communication skills

- Ability to manage multiple priorities and maintain accurate administrative, vehicle, equipment, and document records

- Ability to coordinate across departments and support both corporate operations and survey-related administrative functions

- Ability to handle sensitive information and documents with professionalism and confidentiality

- A willingness to learn

Education and Experience:

- High School Diploma or equivalent required

- Previous experience in a similar role preferred

- Proficiency in Microsoft Office and Excel

- Experience in Supply Management preferred
