Blumenfeld Development Group, a commercial real estate development firm located in Syosset, New York, is seeking a detail-oriented and organized Construction Administrative Assistant to support our Construction Project Managers and Vice President of Construction. This role is responsible for administrative, documentation, insurance, and compliance support across multiple commercial construction projects in New York..
Responsibilities:
Project & Administrative Support
- Provide administrative support to the construction team throughout all phases of construction projects.
- Maintain complete and organized project files, including contracts, agreements, permits, correspondence, insurance documents, and closeout materials (electronic and hard copy).
- Track and log project correspondence, notices, and required responses; follow up to resolution as directed.
Insurance & Compliance
- Create and maintain vendor, contractor, and consultant insurance files.
- Track insurance expiration dates and renewal deadlines.
- Review insurance documents against required entities and project-specific requirements.
- Maintain and update insurance sample certificate databases.
- Assist with uploading compliance and permit-related documentation to NYC and other agency portals; follow up until processed.
Agency Filings & Follow-Ups
- Assist with tracking hearings, violations, and fines related to construction projects.
- Coordinate follow-ups and documentation related to required payments and agency responses under direction of the construction team.
- Systems & Data Management
- Update Yardi with construction-related agreements, amendments, assignments, and early termination provisions, as applicable.
- Maintain spreadsheets and logs in Excel to track documentation, deadlines, and compliance items.
General Administrative Duties
- Coordinate mailing, filing, and distribution of construction-related documents.
- Assist with internal and external correspondence coordination.
- Provide general administrative support to ensure efficient operation of the construction department.
- Other assorted duties as assigned
Requirements:
- High school diploma or equivalent.
- 2+ years of experience in an administrative role; construction, real estate, or property management experience preferred.
- Strong attention to detail and organizational skills.
- Proficiency in Yardi and Microsoft Excel.
- Ability to manage multiple deadlines and priorities.
- Strong communication and follow-up skills.
- Ability to work independently and collaboratively in a fast-paced environment.
