About This Position

Position Title: Administrative Specialist – Nursing Education
Work Schedule: Monday to Friday, 8:30 AM – 5:00 PM

Job Summary:

We are seeking an outgoing, energetic, positive, flexible, and detail-oriented individual to join our team. The Administrative Specialist will provide support to clinical educators addressing the dynamic educational needs of healthcare professionals. This role requires excellent communication and organizational skills to effectively manage multiple responsibilities.

Responsibilities:
  • Provide courteous, responsive, and professional customer service when greeting customers and answering phones.

  • Act as the main communication link within the department, offering knowledgeable assistance and appropriately directing calls.

  • Coordinate the Shadow Program and non-nursing internships.

  • Serve as the Hospital Liaison with educational institutions.

  • Oversee the background check process for students, shadows, etc., in partnership with companies like Castle Branch.

  • Initiate, coordinate, and update school contracts in collaboration with the Hospital Legal Counsel.

  • Provide clerical support to The Learning Center (TLC) staff, including preparing program materials, binders, folders, and resource guides.

  • Assist educators in the coordination of Consortium meetings and sessions.

  • Ensure the office and program supplies are adequately maintained for TLC.

  • Assist in the marketing and promotion of TLC programs by developing the annual TLC calendar, creating flyers, and distributing materials.

  • Ensure that all forms and materials distributed by TLC are professional, accurate, and up-to-date.

  • Maintain an organized system for office files and documents.

  • Coordinate the Resource Scheduler for Carroll Hospital.

  • Collaborate with IS, Biomed, Facilities, and Marketing for conference services.

Requirements:
  • Great attitude and excellent interpersonal skills.

  • Previous administrative experience, preferably in a healthcare setting.
