Responsibilities
The Aircraft Records and Airworthiness Administrator supports the Aviation Maintenance Manager by maintaining accurate, complete, traceable, and audit-ready aircraft maintenance and continuing-airworthiness records. The position researches and documents regulatory and manufacturer requirements; monitors due items; reconciles CAMP, the in-house SAM Aircraft Log and Maintenance Program, and controlling source records; and administers the associated electronic and physical filing systems. The Specialist identifies discrepancies and exceptions for management review and supports SAM, LLC compliance with applicable FAA requirements, company policies, and IS-BAO commitments.
- Research Airworthiness Directives, Service Bulletins, Service Letters, Instructions for Continued Airworthiness, and other applicable regulatory or manufacturer publications for company aircraft, engines, propellers, appliances, and installed equipment.
- Enter and maintain applicability, compliance method, compliance date, time or cycle information, recurring interval, next-due information, and supporting references in the approved tracking systems.
- Attach and index source documents, maintenance releases, logbook entries, work packages, inspection records, and other objective evidence supporting compliance.
- Conduct and document the company required monthly SMS, IS-BAO-aligned AD and SB research and compliance audits. Maintain a traceable research log identifying the audit date, sources searched, publications reviewed, affected aircraft or components, applicability determination, compliance status, follow-up action, reviewer or approval status, supporting evidence, and filing location.
- Promptly escalate new, uncertain, overdue, incomplete, or conflicting regulatory and manufacturer publication findings to the Aviation Maintenance Manager for technical review and disposition.
- Cross-check CAMP, the SAM Aircraft Log and Maintenance Program, aircraft logbooks, and controlling source records. Identify differences, correct authorized tracking information in the appropriate system, and document each reconciliation and unresolved exception.
- Support the continued development, validation, testing, implementation, and controlled use of the SAM flight and maintenance log as the department central tool for maintenance control, aircraft status visibility, records management, reporting, and decision support.
- Maintain accurate aircraft, engine, propeller, avionics, appliance, and other tracked-component records, including installed-position, serial-number, time, cycle, life-limit, and inspection-interval information when applicable.
- Upload, classify, index, organize, cross-reference, and correct maintenance documentation using established naming, metadata, revision, retention, and filing standards.
- Develop and administer coordinated electronic files and controlled physical files that complement the SAM flight and maintenance log and allow records to remain traceable to the applicable aircraft, component, maintenance event, discrepancy, and compliance requirement.
- Prepare and index logbook information and verify that completed work packages, maintenance releases, invoices, supporting records, and required approvals have been received before administrative event closeout.
- Maintain full visibility of upcoming, due-soon, and overdue calendar-, time-, cycle-, and utilization-based maintenance requirements. Produce exception lists and escalate items in time for planning and management action.
- Maintain the records and compliance portions of Maintenance Events and Maintenance Requests after physical work is performed, without independently approving the maintenance or return to service.
- Generate recurring and ad hoc compliance, maintenance-status, CAMP and SAM flight and maintenance log reconciliation, due-item, records-completeness, audit, and management reports.
- Support internal audits, IS-BAO conformity activities, SMS processes, client reviews, aircraft acquisitions or dispositions, and other record-intensive projects.
- Protect confidential records, maintain data quality, follow access-control requirements, and preserve record retention and audit history.

- Working knowledge of ADs, manufacturer service publications, ICAs, logbook entries, component records, life-limited parts, and calendar, time, cycle, and utilization-based requirements.

- Strong research, document-control, records-indexing, data-entry, reconciliation, analytical, and quality-control skills.
- High attention to detail and the ability to identify conflicting, incomplete, missing, or unsupported maintenance information.
