About This Position

Summary:

We are seeking a detail-oriented and proactive Plan Administration Assistant to support our FranPlan Specialists. In this role, you will play a key part in the administrative process that helps clients establish and maintain retirement plans through our FranPlan program. This is an excellent opportunity for someone who thrives in a high-volume, customer-focused environment.

Key Responsibilities:
  • Prepare and organize all required documentation for clients participating in the FranPlan process
  • File Articles of Incorporation with the appropriate state agencies
  • Obtain Employer Identification Numbers (EINs)
  • Create and manage retirement plans using Ft. Williams software
  • Complete all applications and gather supporting documents to open client accounts
  • Prepare and/or review client deliverables for accuracy and completeness
  • Generate stock certificates and assemble plan binders
  • Respond to client inquiries via phone and email when assigned Specialists are unavailable
  • Coordinate calls between clients and financial institutions to open accounts and manage fund transfers
  • Refer clients to preferred partners as appropriate
  • Participate in ongoing training and development initiatives
Qualifications:
  • High school diploma or equivalent (associate degree or higher preferred)
  • Strong typing and data entry skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Ability to manage multiple tasks in a high-volume, fast-paced environment
  • Excellent customer service and communication skills
  • Strong attention to detail and accuracy
  • Ability to prioritize tasks based on urgency and client needs
  • Positive, team-oriented attitude
  • CRM experience preferred
