The Executive Assistant will act as a central point of coordination, managing schedules, tracking contracts, preparing documents, organizing meetings, and assisting with high-impact special projects. The ideal candidate is a strategic thinker who thrives working independently and can anticipate needs before they arise.

Key Responsibilities
  • Schedule Management: Organize, maintain, and optimize the CEO’s calendar across multiple businesses; coordinate internal and external meetings, calls, and travel arrangements.

  • Administrative Oversight: Maintain accurate records, track contract lifecycles, and ensure timely follow-up on action items.

  • Meeting Coordination: Prepare agendas, take notes, and ensure smooth execution of in-person and virtual meetings.

  • Project Assistance: Support special projects, research assignments, and strategic initiatives as assigned by the CEO.

  • Communication Liaison: Act as a point of contact between the CEO and internal/external stakeholders, ensuring professional and timely correspondence.

  • Document Management: Draft, review, and organize business documents, presentations, and reports.

  • Operational Support: Anticipate needs, identify efficiencies, and proactively solve problems to keep projects and priorities on track.

Qualifications
  • Experience: Minimum 3–5 years supporting C-level executives or senior leadership (experience with multiple business entities preferred).

  • Skills: Exceptional organizational skills, strong written and verbal communication, and the ability to manage multiple priorities simultaneously.

  • Technology: Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Trello, Asana, or Monday.com).

  • Attributes: Self-starter, proactive problem solver, and able to work with minimal supervision while maintaining high standards of confidentiality.

  • Flexibility: Ability to adapt to changing priorities and work effectively in a fast-paced, high-growth environment.

What We Offer
  • Opportunity to work directly with a CEO leading multiple high-growth companies.

  • A dynamic, entrepreneurial work environment with room for professional growth.

  • Compensation based on experience.
