Job Description
The Planning and Scheduling Administrative Assistant assists with production planning, scheduling, material planning, customer delivery schedules, shipping schedules, and the coordination of work through the manufacturing process. This role serves as a key administrative resource to help ensure accurate schedules, timely communication, and efficient workflow throughout the organization.
2. PRIMARY RESPONSIBILITIES
•
Assist with maintaining production schedules and customer delivery schedules
•
Support material planning activities by helping determine material requirements and tracking material availability
•
Assist with monitoring the flow of jobs, materials, and components through the manufacturing process
•
Help maintain shipping schedules and coordinate shipment information
•
Update and maintain information within ERP systems, spreadsheets, and production reports
•
Assist with tracking production priorities, schedule changes, and job status updates
•
Support communication between Production, Purchasing, Quality, Shipping, and Customer Service
•
Generate and distribute production, scheduling, and shipment reports as needed
•
Maintain organized records and documentation in accordance with company procedures and quality requirements
•
Assist with document control, data entry, and filing, and activities
•
Support inventory-related administrative activities and transaction verification
•
Assist with customer schedule management and delivery tracking
•
Provide general administrative support to office personnel and management as needed
•
Perform other administrative and operational duties as assigned
3. REQUIRED SKILLS / QUALIFICATIONS
•
High school diploma or equivalent required
•
Associate degree or relevant manufacturing, planning, scheduling, logistics, or administrative experience preferred but not required
•
Previous office, manufacturing, logistics, planning, scheduling, or customer service experience preferred but not required
•
Ability to read prints, BOMs, and shop travelers a plus
•
Ability to use computer systems and proficient in Excel and Outlook
•
Ability to read part numbers, revisions, and quantities accurately
•
Strong organizational skills and attention to detail
•
Ability to follow written procedures and work instructions
•
Basic math skills
•
Must be able to sit, stand, and walk throughout office, shop, and warehouse areas and occasionally lift and carry up to 25 pounds
•
Ability to manage multiple tasks and priorities while meeting deadlines
•
Ability to work in a fast-paced manufacturing environment
Monday-Friday 8:00am-4:30pm Broken Arrow, OK
