Job Description

Overview

The Production Support Administrator – Panel Builder Assembly provides administrative and operational support to the Panel Builder Assembly department at Quality Electrical Systems (QES). This role is responsible for coordinating production documentation, maintaining accurate records, supporting scheduling and workflow activities, and ensuring production teams have the information and resources needed to meet quality, safety, and delivery objectives.

Working closely with Production Supervisors, Manufacturing, Engineering, Materials, Quality, and Project Management, the Production Support Administrator serves as a central point of communication for production-related administrative activities. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities
Production Administration
Prepare, organize, and distribute production work orders, job travelers, drawings, bills of material (BOMs), and related manufacturing documentation.
Ensure production packets are complete, accurate, and available prior to production start.
Monitor work order status and update production systems with accurate job progress information.
Maintain production records, documentation, and filing systems in accordance with company procedures.
Assist supervisors with production reporting, labor tracking, and departmental administrative tasks.
Process engineering revisions and ensure updated documentation is distributed to production personnel.
Scheduling & Production Coordination
Coordinate with Production Supervisors to support daily production schedules and priorities.
Communicate material shortages, engineering changes, production delays, and scheduling conflicts to appropriate departments.
Monitor workflow to help ensure production activities remain on schedule.
Assist with expediting documentation, materials, and information needed to minimize production interruptions.
Coordinate production meetings, schedule updates, and departmental communications.
Inventory & Material Support
Coordinate with Materials and Purchasing regarding production shortages and material availability.
Assist with inventory transactions, production material requests, and component tracking.
Verify production kits and documentation align with current bills of material.
Support cycle counts and inventory accuracy initiatives as needed.
Documentation & Reporting
Maintain accurate production records, reports, spreadsheets, and databases.
Prepare production reports and departmental metrics for leadership review.
Track engineering changes, document revisions, and manufacturing documentation updates.
Support document control procedures to ensure only current revisions are used in production.
Generate reports related to productivity, labor, quality, and production performance.
Cross-Functional Support
Serve as a liaison between Production, Engineering, Quality, Project Management, Planning, and Materials.
Assist with onboarding documentation and administrative support for new production employees.
Coordinate training records, certifications, and departmental documentation as assigned.
Support continuous improvement initiatives through accurate documentation and process consistency.
Assist leadership with special projects and other administrative duties as assigned.
Customer & Internal Service
Respond promptly to internal requests for production documentation and job information.
Maintain professionalism while supporting production personnel and cross-functional departments.
Help ensure timely communication regarding production status, documentation, and scheduling updates.
Knowledge & Experience Requirements
Minimum Qualifications
High school diploma or equivalent required; associate degree in Business Administration, Manufacturing, or related field preferred.
2+ years of administrative, production support, manufacturing coordination, or office experience in a manufacturing environment preferred.
Experience working with production documentation, work orders, bills of material (BOMs), or manufacturing records.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
Ability to learn ERP/MRP and manufacturing software systems.
Strong written and verbal communication skills.
Ability to prioritize multiple tasks while meeting deadlines.
Preferred Qualifications
Experience supporting electrical manufacturing, panel assembly, or industrial production operations.
Familiarity with engineering drawings, manufacturing documentation, and revision control processes.
Experience with ERP systems such as Epicor, Global Shop, SAP, Oracle, or similar manufacturing software.
Knowledge of Lean Manufacturing, 5S, or continuous improvement methodologies.
Experience supporting ISO or quality management documentation.
Physical Requirements
Ability to sit, stand, and walk throughout office and manufacturing environments.
Ability to occasionally lift up to 25 pounds.
Ability to safely enter production areas while following required PPE and safety procedures.
Ability to use standard office equipment, including computers, printers, scanners, and copiers.
