TITLE: Leasing Manager
FLSA CLASSIFICATION: Exempt
HOURS: Full-time
RESPONSIBLE TO: Nashville Director
DIRECT REPORTS: Maintenance Technicians
LOCATION: Nashville, TN
COMPENSATION: $70,000 - $75,000 per year, paid bi-weekly

Position Description
The Leasing Manager oversees leasing and property management activities for a 90-unit affordable housing project, including eligibility, move-ins and move-outs, recertifications, inspections, tenant relations, and maintaining occupancy. The role also oversees property operations, maintenance coordination, compliance, and supervision of the Maintenance Technicians. The ideal candidate will have strong communication and organizational skills, attention to detail, and experience in property management or a related field.

Primary Duties and Responsibilities
Essential Functions
• Serve as the primary user and point of contact for the property management software, maintaining accurate property and tenant information and supporting consistent use of the system.
• Maintain occupancy levels as established by Metro Nashville and ensure the safety, comfort, and privacy of all property residents.
• Complete lease paperwork, including related addenda and rent calculations.
• Coordinate with case managers to ensure clients have the necessary items to secure housing.
• Collaborate with case management staff to understand residents’ specific housing needs and preferences
• Provide information and instruction to residents regarding tenant rights and responsibilities, including compliance with rental agreement requirements and being a good neighbor.
• Apply Housing First, harm-reduction, and trauma-informed principles in property management and resident interactions.
• Document resident encounters and maintain thorough and accurate records for reporting purposes.
• Conduct move-in, move-out, and unit inspections as needed.
• Assist with lease violations, non-renewals, and evictions as necessary.
• Ensure compliance with applicable laws, regulations, and Depaul USA policies, including Fair Housing, HUD, the Americans with Disabilities Act, the Fair Credit Reporting Act, and VAWA requirements.
• Support reasonable accommodations and accessibility needs in coordination with case management and the Nashville Director.
• Oversee tenant emergencies and urgent situations; identify and promptly escalate significant safety, accessibility, habitability, or property concerns to the Nashville Director.
• Monitor property operations and make recommendations for improvement, including reviewing occupancy status and preparing rent increase requirements.
• Review and audit property administrative, accounting, and maintenance activities to ensure compliance with established policies and procedures; approve exceptions as authorized.
• Inspect the property regularly to ensure high standards are maintained; evaluate maintenance, grounds, and housekeeping operations; conduct periodic inspections of vacant units; and supervise the Maintenance Technician in unit turnover and minor repairs.
• Coordinate with vendors, contractors, and internal staff to prioritize and complete property-related work and monitor the quality and timely completion of repairs.
• Assist in developing corrective programs to support the physical and fiscal well-being of the property.
• Monitor assigned property budgets and expenditures; communicate anticipated needs, budget variances, and resource requirements to the Nashville Director.
• Obtain quotes and coordinate purchasing for property repairs, maintenance, supplies, and other assigned needs in accordance with Depaul USA policies.
• Provide reports and statistics to the Nashville Director to support accurate and timely reporting to external stakeholders, including HUD, CoC, and Metro Nashville OHS.
• Maintain financial, managerial, statistical, and operational records necessary for the effective operation of the property.
• Assist in updating, revising, and developing forms, reports, and manuals related to property management and operations; ensure implementation.
• Assist in the development and implementation of property management training programs.

Additional Tasks and Responsibilities
• Work with the Nashville Director and case managers to maintain relationships with key housing and property-related partners.
• Work closely with the Nashville Director, Case Managers, Residential Aides, Peer Support Specialists and Maintenance staff to ensure participant needs are met.
• Conduct tours of the building for prospective tenants and appropriate visitors.
• Build positive working relationships with other Depaul USA projects and external agencies.
• Perform other related duties as assigned.

General Responsibilities
• Stay informed of current local and national events, trends, and issues, that impact Depaul USA’s work with homeless individuals.
• Strive continuously to develop the role in collaboration with the supervisor to ensure that all tasks are being undertaken in an effective and appropriate manner, meeting the strategic goals and objectives of Depaul USA.
• Participate in internal/external meetings as required, attends training events, conferences, and other functions as necessary.
• Participate in regular supervision and annual evaluations, identifying his or her own developmental and training needs.
• Ensure adherence to all Depaul USA policies and procedures, particularly those relating to Health and Safety, Safeguarding, and the Code of Practice and Confidentiality.
• Contribute to the effective implementation of Depaul USA’s Equal Opportunities Policy as it affects both the organization and its work with this client group.
• Undertake the role in a professional manner maintaining a high-quality standard of work, in accordance with the Vision, Mission, and Values of Depaul USA.

Qualifications
The ideal Leasing Manager at Depaul USA oversees leasing, property management, and administrative responsibilities while working with tenants, vendors, and staff. The role requires strong communication, organization, attention to detail, and sound judgment, along with knowledge of property management and applicable housing requirements. The Leasing Manager will have the following experience and attributes:
• Bachelor’s degree or equivalent combination of education and experience, preferably in real estate management, business administration, or a related field.
• Minimum of three years of progressively responsible experience in property management, including supervisory experience with multi-family or affordable housing.
• Working knowledge of property management software, with the ability to serve as the primary user and lead for property-related functions and data management.
• Knowledge of affordable housing programs and regulations, including HUD, LIHTC, Housing Finance Agency requirements, and PBVs.
• Working knowledge of applicable federal, state, and local housing laws, including Fair Housing and landlord-tenant requirements.
• Knowledge of property operations, maintenance, and financial aspects of property management.
• Strong communication, interpersonal, conflict management, organizational, and multitasking skills, with the ability to work effectively with diverse populations.
• Ability to exercise sound judgment, make decisions independently, delegate effectively, and communicate property management policies and procedures.
• Strong computer skills, including Microsoft Office.

Special Requirement
• Must possess a valid driver's license and comply with Depaul USA’s Motor Vehicle Policy during the course of employment. Additionally, occasional use of a personal vehicle may be necessary.

Work Schedule:
• Primarily in-person from Nashville, TN.
• Monday-Friday, 7am - 4pm CST, but schedule may need to be altered to be present and supervise all shifts.
• In rotation with leadership team on call evenings, nights, weekends and holidays.
