Job Description
We are seeking a professional, dependable, and customer-focused Part-Time Receptionist to join our team in Norwell, Massachusetts. In this role, you will serve as the first point of contact for visitors, customers, and employees, helping create a positive and welcoming experience while supporting the day-to-day administrative operations of our corporate office.
Schedule: Monday-Friday, 12:00 PM - 5:00 PM
Additional Coverage Requirement: This role participates in a job-share arrangement and will be expected to provide coverage for the alternate Receptionist shift (8:00 AM - 12:00 PM) during periods of vacation, illness, or other absences.
This position is ideal for someone who enjoys interacting with people, thrives in a fast-paced environment, and takes pride in keeping an office running smoothly through exceptional organizational and communication skills.
What You'll Do
- Answer and direct incoming calls through a multi-line phone system in a prompt and professional manner.
- Welcome visitors, manage the visitor sign-in process, and issue visitor badges.
- Receive customer invoice payments and coordinate FedEx deliveries to lockbox processing.
- Open, sort, and distribute incoming mail to the appropriate departments.
- Process invoices and route administrative documentation according to established procedures.
- Support the sales team by researching and validating customer information, including company websites, addresses, and contact details.
- Provide general administrative and clerical support to Human Resources and other departments.
- Assist with the coordination and tracking of small projects and departmental initiatives.
- Maintain accurate files and records while handling confidential information with discretion.
- Support additional administrative tasks and special projects as assigned.
What We're Looking For
- High school diploma required; associate degree or related coursework preferred.
- Previous experience in reception, customer service, administrative support, office coordination, or a similar role.
- Strong verbal and written communication skills with professional phone etiquette.
- Excellent customer service skills and a polished, professional demeanor.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and adapt to changing business needs.
- Ability to maintain confidentiality and exercise sound judgment.
- Proficiency with Microsoft Office, including Word and Excel.
- Experience using multi-line phone systems and general office equipment such as copiers, scanners, printers, and postage systems.
- Comfortable learning new software applications and business systems.
- Reliable, punctual, self-motivated, and able to work independently while contributing to a team environment.
