Job Description
Position Summary: This position receives, logs, and delivers all incoming hotel packages while managing outbound guest and property shipping requests. Coordinates daily carrier pickups, tracks shipments, and maintains accurate records of shipping costs and documentation. Fulfills internal food and beverage requisitions accurately. This role requires strong problem-solving skills, adaptability to a changing daily environment, and the ability to work independently while collaborating effectively with the broader team.
Essential Duties and Responsibilities: (other duties as assigned)
- Receiving packages from FedEx, UPS, Freight, and daily visits to the P.O. box for mail pickup.
- Ensures all outgoing shipments are properly packaged, labeled, and processed using standard shipping carriers FedEx or Ship Sticks.
- Keeping an accurate log of all packages as they arrive and until they are delivered
- Maintaining a clear and clean loading dock
- Inspecting incoming shipments for damage or shortages before signing carrier delivery receipts.
- Identifying and safely handling hazardous materials according to shipping regulations.
- Operating material handling equipment safely, such as pallet jacks, hand trucks, or dollies.
- Reviewing and verifying carrier invoices against shipping logs for billing accuracy.
- Documenting and reporting inventory or delivery shortages immediately to management.
- Notifying guests and internal departments via PackageX upon package arrival.
Knowledge Skills & Abilities:
- Excellent customer service and communication skills, with the ability to engage guests professionally by phone and email regarding package arrivals or shipment tracking.
- Demonstrate strong problem-solving skills and escalate appropriately for seamless resolution when dealing with delivery delays, missing cargo, or tracking discrepancies.
- Strong attention to detail and accuracy when logging incoming packages, maintaining inventory counts, verifying carrier invoices, and managing internal food and beverage requisitions.
- Strong knowledge of resort operations, loading dock logistics, and carrier procedures (or ability to learn quickly) to ensure efficient delivery fulfillment.
- Proven ability to work independently with minimal supervision, while remaining a collaborative team player when supporting other property departments.
- Demonstrate strong organizational and time-management skills to successfully balance high-volume shipping logistics.
- Effectively follow safety rules, operating manuals, and technical shipping regulations (including hazardous materials).
- Intermediate mathematical capabilities to accurately calculate dimensions, volume, weights, discounts, and inventory counts.
- Proficient in general computer literacy, digital inventory systems, and advanced functionalities within spreadsheet software (MS Office Suite).
Education and/or Experience:
High School diploma or GED and 2-3 years of shipping and receiving experience. Resort or hospitality environment a plus

While performing the duties of this job, the employee is regularly required to traverse on uneven and rough terrain, as well as paved and unpaved trails, use hands and arms to handle and manipulate objects, tools or controls; and operate foot controls on equipment. The employee is frequently required to stand, sit, climb, balance, stoop, kneel, crouch, and crawl. When operating equipment the employee is frequently exposed to bouncing, jostling, twisting and turning of the upper body. The employee must occasionally lift and/or move up to 80 lbs.
While performing the duties of this Job, the employee is regularly exposed to fumes or airborne particles. The employee is frequently exposed to wet and/or humid conditions; moving mechanical parts; toxic or caustic chemicals; outside weather conditions, including extreme heat, extreme cold, as well as wet and slippery conditions. While outside the employee is occasionally exposed to direct sunlight, dust, pollen and equipment exhaust fumes. The employee is occasionally exposed to high, precarious places. The noise level in the work environment is usually moderate but can be loud when around machinery or equipment.
