Clinic CoordinatorPosition Summary
The Clinic Coordinator is responsible for overseeing daily clinical and operational activities within the retina practice, with primary responsibility for the Des Plaines office. This role serves as a liaison between physicians, staff, and patients to ensure, efficient clinic operations, high-quality patient care, staff development, and proper management of specialized diagnostic and treatment equipment. The Clinic Coordinator also supports patient assistance programs and helps maintain compliance with practice standards and protocols.
Essential ResponsibilitiesOffice and Clinic Operations Management
• Oversee the daily operations of the Des Plaines office to ensure efficient patient flow and optimal clinic performance.
• Coordinate clinic schedules, staffing assignments, and operational workflows.
• Monitor clinical processes and identify opportunities to improve efficiency, patient experience, and productivity.
• Ensure clinical equipment, supplies, and examination rooms are appropriately maintained and stocked.
• Serve as a resource for staff regarding operational concerns, workflow issues, and problem resolution.
• Collaborate with physicians and leadership to implement practice policies, procedures, and quality initiatives.
Staff Onboarding and Development
• Coordinate onboarding of new clinical staff.
• Facilitate orientation and ensure completion of required training and competency assessments.
• Assign and coordinate trainers/mentors for new employees.
• Track onboarding progress and provide regular feedback to management regarding employee development.
• Assist with ongoing staff education, skills development, and cross-training initiatives.
• Promote adherence to practice protocols, standards, and best practices.
Diagnostic Testing and Equipment Oversight
• Serve as the primary coordinator for specialized diagnostic and treatment services, including: Electroretinography (ERG)
Visual Field Testing (VF)
Photodynamic Therapy (PDT)
• Train and support staff in the proper performance of testing procedures and equipment operation.
• Develop and maintain standardized workflows and competency requirements for diagnostic testing.
• Coordinate routine maintenance, calibration, troubleshooting, and service of equipment.
• Ensure compliance with manufacturer guidelines and practice quality standards.
Patient Assistance Program (PAP) Oversight
• Oversee and assist with Patient Assistance Program (PAP) processes.
• Support staff in identifying eligible patients and completing necessary documentation.
• Monitor application status, renewals, and program requirements.
• Serve as a resource for patients arid staff regarding medication assistance and financial support programs.
• Collaborate with physicians, pharmaceutical representatives, and administrative staff to facilitate timely patient access to treatment.
