The Contract Support plays a pivotal role in driving the operational and financial performance of the account. This position is responsible for providing effective support in managing supplier relationships, financial administration, compliance, and reporting activities. The ideal candidate will be highly organized, detail-oriented, and proactive, with the ability to work both independently and collaboratively across teams to deliver exceptional service and foster continuous improvement.
Key Responsibilities:
- Raise Annual Maintenance, Chargeable and Projects Purchase Orders in line with contractual and financial requirements.
- Create and manage Service Orders to ensure costs are accounted for against each Chargeable Works Activity.
- Create Client Proposals for all Chargeable Works.
- Conduct daily reviews of the invoices, ensuring all invoices are processed efficiently and within payment deadlines.
- Prepare and Issue monthly client Invoices for completed for Maintenance, Chargeable, and Projects Works.
- Review and manage Work in Progress via Smartsheets and Open Purchase Orders to maintain accuracy, organisation, and clear financial visibility.
- Completion of the monthly Contract Review Pack.
- Provide support and holiday cover for Contract Support team members when required, including cover for other sites within the Business Unit.
- Attend monthly client meetings to review performance, address queries, and strengthen the client relationship.
- Maintain DC Mailbox with all Site Queries, AP Queries and ADHOC Tasks.
Education:
- Good level of high school education.
- Higher educational qualifications would be an advantage
- Fluent in written and spoken Spanish & English
- Any other languages would be an advantage
Essential Skills & Experience:
- Proven experience in contract support, finance administration, or a similar role within a facilities management or service-oriented environment.
- Strong financial acumen with experience in purchase order management, invoicing and debt control.
- High level of attention to detail and organisational skills, with the ability to manage multiple priorities and deadlines effectively.
- Proficient in using business systems such as CAFMs, finance platforms, and HR systems.
- Excellent communication and interpersonal skills, with the ability to build positive relationships with clients, suppliers, and internal teams.
- Demonstrated ability to work both independently and collaboratively in a fast-paced environment.
- Strong problem-solving and analytical skills, with a proactive approach to identifying efficiencies and continuous improvement.
- Competent in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), particularly in data analysis and reporting.
- Understanding of health, safety, and compliance requirements within a contractual or operational setting.
- Flexible and adaptable, with a willingness to provide support across multiple sites as required.
