The University of New Mexico Maxwell Museum of Anthropology (MMA) seeks to hire a Unit Administrator 3 to oversee and support day-to-day administrative activities of a complex, multi-faceted, University museum. We seek an experienced, forward-thinking, collegial, administrative professional understandings of the fullness of human experiences in the Southwest and the world," and vision of "restoring voices, reconciling injustices and realizing community." With a staff of 19 full-time employees, plus interns, student employees and volunteers, the UNM Maxwell Museum of Anthropology is dedicated to research, education, and public engagement through exhibitions, educational and public programs, collection curation and research, and community collaboration. The successful candidate will lead the Museum's administrative staff and will join a dedicated team of museum professionals in collections, archives, exhibitions, education, and public programs.
Position Description
Working under the indirect supervision of, and in close collaboration with, the Museum Director, the Unit Administrator plays a critical role in Museum management and oversight. Oversee all internal and external business activities, accounting and finance and/or contract/grant administration, and human resources. Manages and coordinates facility and resource management, information services, and general department administration. Participates with the Director and museum staff in strategic and operational decision making. Provides leadership and support to a diverse team of staff engaged in programmatic, operational, and administrative activities.

Position Description

Duties and Responsibilities
- Directs and administratively supervises Museum administrative staff (i.e., accountant/fiscal services, admin assistant/store manager), including final approval of hiring decisions, performance appraisals, scheduling, training, employee development, disciplinary actions, and conflict mediation; develops procedures and assigns work tasks to improve efficiency.
- Coordinates and supports non-administrative museum staff (i.e., collections, interpretation) in areas of hiring, training, employee development, administrative policies and procedures, and other administrative needs.
- Working with the Director and fiscal services staff, manages fiscal affairs of the unit including budget planning, expenditure and cost analysis, procedures for expense payments, and financial projections; coordinates account reconciliation and financial reporting activities; develops systems to improve fiscal control and processing; directs the administration of transportation, lodging, and meal coordination for events, travel, meetings, and conferences; participates in the development of new projects and/or programs; may prepare proposals for funding of equipment, remodeling, or other needs of the unit.
- Oversees and coordinates the employment and hiring process for full-time and part-time staff, and temp and student employees, enforcing AA/EEO policies and procedures for the organization; may participate in staff searches; directs completion of forms and associated hiring paperwork.
- Directs purchases and coordinates maintenance of unit's equipment and facilities; supervises the execution of recordkeeping systems.
- Directs and coordinates administrative functions and enforces university policy for the unit in coordination with all associated university departments.
- Acts in the absence of the director on operational and administrative matters; reviews, interprets, recommends, and/or implements unit policies; identifies and resolves issues regarding administrative and fiscal matters; develops systems to monitor deadlines; regularly evaluates unit administrative systems and services.
- Researches, reports, analyzes, compiles, and/or completes information for surveys and accreditation such as fiscal data, operational expenses, and/or salaries.
- Serves on various unit, college/school, department, and/or university policy-making committees; participates directly in the formulation of unit policy ensuring that the fiscal and personnel practices comply university regulations, policies, and appropriate laws.
- Administers building security and safety procedures as appropriate to the operating environment; coordinates remodeling activities as appropriate among administrators, staff, physical plant, and facilities planning.
- May serve as Campus Security Authority as outlined by the Clery Act.
- Performs miscellaneous job-related duties as assigned.

- Familiarity with UNM processes and procedures.
- Demonstrated supervisory experience, including coordinating, organizing, prioritizing, and scheduling work assignments.
- Demonstrated experience in human resources management, including coordinating employment and hiring process for full-time and part-time staff and student employees.
- Demonstrated experience of finance, budgeting, purchasing, and cost control procedures, including the ability to develop and maintain recordkeeping systems and procedures, compile and analyze data, and generate reports.
- Demonstrated organizational skills, ability to coordinate priorities and implement projects and manage completing deadlines.
- Strong interpersonal and oral and written communication skills; ability to coordinate effectively with staff, students, and external constituencies.
