LuTek Shading Systems is a premier manufacturer and installer of custom architectural shading solutions. We deliver high-quality custom shading systems for complex commercial, residential, and architectural applications. As our commercial business continues to grow, we are seeking a detail-oriented Estimator to support LuTek’s commercial preconstruction efforts through accurate scope review, disciplined bid management, strong general contractor relationships, and clear coordination with internal teams.
Role OverviewLuTek is seeking an organized, technically capable Commercial Estimator to review construction documents, identify project scope, and prepare accurate, complete, and competitive estimates for custom shading systems. The Estimator owns the estimating process from request for quote through bid submission and post-bid follow-up, maintaining clear documentation of scope, deadlines, assumptions, bid status, and outcomes.
This is a commercial estimating and preconstruction role centered on technical accuracy, disciplined follow-up, strong relationships with general contractors, and consistent use of bid-performance data to improve LuTek’s commercial win rate.
Key ResponsibilitiesCommercial Estimating and Bid Management- Maintain the estimating calendar and actively manage bid deadlines, priorities, addenda, and submission requirements.
- Receive, review, and log all requests for quote, ensuring each opportunity is accurately entered and assigned for estimating.
- Download, organize, and maintain drawings, specifications, addenda, schedules, and other project files required to prepare the estimate.
- Review drawings, specifications, schedules, and details to identify shading scope, product types, quantities, controls, mounting conditions, and other requirements that affect pricing and execution.
- Prepare accurate material takeoffs, pricing, and bid proposals in accordance with LuTek estimating standards and project requirements.
- Identify missing, conflicting, or unclear scope information early and coordinate questions or clarifications before bid submission.
- Review final estimates for completeness, pricing accuracy, exclusions, assumptions, and alignment with the bid documents before submission.
- Identify when a job walk, site review, or field verification is needed to develop an accurate estimate and coordinate the next step with the appropriate team member.
- Identify whether LuTek or another manufacturer is specified and document LuTek’s specification position for each applicable bid.
- When a substitution request is required, prepare and submit the request with complete supporting documentation and follow it through the approval process.
- Track the status and outcome of substitution requests, including submitted, approved, denied, and pending requests, and measure the effect of successful substitutions on bid outcomes.
- Track and report bid win rates for projects where LuTek is specified compared with projects where LuTek is not specified, using the data to identify opportunities to improve estimating strategy and specification influence.
- Build and maintain professional relationships with general contractors to improve communication, bid access, feedback, and LuTek’s commercial bid win rate.
- Represent LuTek through timely, professional, and solutions-oriented communication with general contractors, architects, and other project stakeholders.
- Work with architects, plan holders, and project contacts to identify bidding general contractors and maintain accurate bidder information.
- Proactively follow up on outstanding bid proposals by phone and email to determine project status, award timing, bid outcome, and next steps.
- Update CRM promptly and accurately following bid activity and follow-up, including current status, award outcome, known decision timing, next action, and relevant notes.
- Capture available win/loss feedback from general contractors and use it to improve future estimating decisions, proposal quality, and bid competitiveness.
- Collaborate with sales leadership, project management, production, and installation teams to resolve technical questions and support complete, buildable project scopes.
- Document key assumptions, exclusions, alternates, substitutions, and scope decisions so awarded projects can be handed off cleanly to project management.
- Support continuous improvement of estimating tools, templates, pricing processes, reporting, and team standards.
- 2-5 years of commercial construction estimating, preconstruction, architectural products, specialty subcontracting, commercial interiors, or related project-based experience is preferred.
- Demonstrated ability to read and interpret architectural drawings, specifications, schedules, details, and bid documents.
- Strong attention to detail with the ability to perform accurate takeoffs, manage pricing inputs, and identify scope gaps before submission.
- Comfort working in Excel, Adobe Acrobat, Bluebeam, CRM systems, and other estimating or document-management tools.
- Strong written and verbal communication skills and the ability to interact professionally with general contractors, architects, and internal teams.
- Highly organized and able to manage multiple active estimates, changing priorities, addenda, and firm bid deadlines without losing accuracy.
- Comfort making professional follow-up calls and emails to general contractors to determine bid status and gather useful project feedback.
- Construction, estimating, customer service, or related experience that supports practical judgment and an understanding of commercial project expectations is preferred.

- Maintains a positive, professional attitude, particularly when managing deadlines, changing priorities, and project challenges.
- Accurate, complete, and competitive estimates with minimal preventable scope or pricing errors.
- Consistent on-time completion of bids and reliable management of estimating deadlines and priorities.
- Strong, productive relationships with general contractors that improve communication, bid visibility, feedback, and win rate.
- Disciplined follow-up on outstanding proposals, with current and reliable bid status information maintained in CRM.
- Improving and clearly measured commercial bid win rates, including visibility into performance when LuTek is specified versus when LuTek is not specified.
- Consistent tracking of substitution requests, approval rates, and resulting bid outcomes.
- Early identification of unclear scope, missing information, substitution needs, and jobsite conditions that could affect cost or execution.
- Clear communication and coordination with project management after project award.
- Competitive base salary plus performance-based commission.
