Job Description

POSITION SUMMARY:

The OCC Coordinator serves as the central point of contact between Operation Control Center and Ground Operations teams. This role ensures smooth and on time fight operations by proactively monitoring handling activities, coordinating with stations and internal departments, managing documentation, and responding quickly during irregular operations. Activities will service all above and below wing functions to include load planning and weight and balance.

ESSENTIAL DUTIES AND RESPONSIBILITIES (includes but not limited to)

  • Confirm payload and cargo information from flight coordinators at MIA hub or from station personnel at the outlying locations.
  • Ensure all logistical documents are secured, properly shared, and signed when required (load sheets, NOTOCS, Gendecs, W&B).
  • Maintain Electronic Flight Folders to include NOTOC/W&B/Loadsheets/Emails, etc. for each flight.
  • Coordinate closely with dispatch, ramp, maintenance, and other departments.
  • Monitor all ground handling activities before arrival and after departure from each station.
  • CBP notification (including Gendec) and Landing rights as required, including charter flights.
  • Ensure movement messages for all flights are sent to appropriate parties.
  • Coordinate with MDAD to request and assign aircraft parking, update parking information in AIMS, and coordinate tow requests when necessary.
  • Send flight projections, include today and the following Zulu day. Follow up when a change happens.
  • Maintains checklist for flights ensuring awareness for possible IROPS
  • Maintain Contact List for all stations
  • Daily audit of Flight folders to confirm accurate data recording
  • Setting up charter station contacts, fuel releases, ground equipment, etc.
  • Receive and inform AVI’s and Bookings for tankering purposes.
  • Inform and publish DMI cargo loading restrictions to all necessary parties.
  • Maintain SmartKargo (Departures/Schedule updates/Cancellations).
  • Responsible for load planning and weight and balance calculations and performance.
  • Ensure ULD containing Hazmat are properly segregated and planned.
  • Other duties as assigned by the OCC Duty Manager or Director of OCC.

  • Handling Irregular Operations:

    • Work closely with the OCC Duty Manager to monitor and manage flight disruptions and cancellations.
    • Maintain regular contact with stations, especially during delays or IROPS, timely and efficient manner.
    • Advises stations on flight delays/cancellations/reschedules.
    • Contact with stations to secure the status of turning the aircraft and assisting Dispatch with situational awareness.

  • Preferred Qualifications, Education and Experience :

  • High School Diploma or GED
  • 1-year or more of experience in airline operations or related field
  • AIMS and/or Smart Kargo experience preferred
  • Must have strong analytical Smart Kargo
  • Preferred experience with MS Office products, Teams, Excel, Word, etc.
  • Strong written and verbal communication skills
  • Ability to work in interdepartmental team settings
  • Ability to multitask and coordinate under high pressure situations

  • Language Skills:

    The employee must possess strong interpersonal and communications skills, be able to effectively present information, respond to questions from managers, employees, vendors, and the general public, and proficiently write reports and business correspondence.

    Physical Activities and Requirements of the Position:

    Frequent use of computer and communication systems

    Ability to sit and stand for extended periods while monitoring operations

    Must be able to work rotating shifts
