Job Description

Monarch Behavioral Health is currently recruiting for a full-time Client Care Coordinator. The Client Care Coordinator plays a key role in supporting client access to care. The role serves as the first point of contact for clients and is responsible for creating a welcoming, supportive, and professional environment within the practice. Under the general direction of the Practice Manager, the Client Care Coordinator is responsible for assisting with front office operations, coordinating client scheduling and intake, maintaining accurate records, and ensuring smooth communication between clients, clinicians, and administrative staff.

The ideal candidate has a minimum of three years of patient or customer support experience, preferably in a healthcare setting or private practice. Applicants must also be well-organized and detailed in their approach to their work.

SCHEDULE REQUIREMENTS
  • 40 hours per week
  • 8am – 5pm with a 1-hour lunch break
LOCATION: This position is in-person in the San Antonio office.

GENERAL DUTIES:
  • Greet clients in a warm, professional manner and provide an atmosphere of support and respect.
  • Manage incoming phone calls, emails, and portal messages, responding promptly and directing inquiries appropriately.
  • Schedule, confirm, and update client appointments; coordinate clinician schedules.
  • Process new client intakes, including collecting required forms, verifying insurance, and explaining practice policies.
  • Maintain accurate client records and documentation in the electronic health record (EHR) system.
  • Assist with billing processes, insurance verification, and client account management as directed.
  • Protect confidentiality and follow HIPAA regulations in all interactions.
  • Collaborate with clinical and administrative team members to ensure a high standard of client care.
  • Support practice operations including office supply management, scanning, filing, and light clerical tasks.
  • Escalate urgent client concerns or safety issues to clinical leadership immediately.
