Position Summary

The Project Coordinator supports the planning and execution of modular manufacturing projects from award through engineering, procurement, fabrication, integration, testing, shipment, and closeout.

This role serves as a central point of coordination between Project Management, Engineering, Procurement, Manufacturing, Quality, Finance, and the customer. The successful candidate will maintain accurate project records, track deliverables and commitments, identify emerging risks, and help ensure projects are completed safely, on schedule, within budget, and in accordance with contractual requirements.

This position is intended for someone capable of immediately supporting project execution while developing toward independent project management responsibility.

Key Responsibilities

Project Coordination and Controls

  • Support the Project Manager in executing assigned projects from turnover through closeout.
  • Coordinate project kickoff meetings and document decisions, responsibilities, and action items.
  • Maintain project records, correspondence, drawings, submittals, RFIs, meeting minutes, and approvals in Procore.
  • Assist with developing and maintaining project execution plans, milestone schedules, action logs, and responsibility matrices.
  • Track engineering, procurement, manufacturing, quality, customer, and site deliverables against required dates.
  • Follow up with responsible parties to ensure commitments are completed and escalate risks before they affect the project.
  • Prepare weekly status reports identifying progress, upcoming activities, decisions required, and schedule or cost risks.

Schedule and Production Support

  • Coordinate with Project Controls and Manufacturing to maintain an integrated project schedule.
  • Track engineering releases, material-required dates, production start dates, quality gates, shipment dates, and customer milestones.
  • Monitor actual progress against the baseline schedule and help develop recovery plans when milestones are at risk.
  • Participate in production planning meetings and shop-floor walkthroughs.
  • Support coordination of customer-furnished equipment, material staging, testing, packaging, transportation, and delivery.

Procurement and Material Tracking

  • Maintain procurement logs, long-lead-item trackers, and material status reports.
  • Coordinate with Procurement to confirm purchase-order status, supplier commitments, delivery dates, and material receipts.
  • Identify material shortages or supplier delays and escalate potential schedule impacts.
  • Verify that required materials and customer-furnished equipment are available before scheduled production activities.

Commercial and Financial Support

  • Assist with project budget setup, cost tracking, forecasting, and estimate-at-completion updates.
  • Track scope changes, customer requests, design revisions, and other conditions that may affect cost or schedule.
  • Support preparation and documentation of change orders, including scope, pricing, schedule impact, and customer authorization.
  • Help ensure work outside the contracted scope is identified and approved before proceeding.
  • Assist with invoice support, committed-cost reviews, and project financial reporting.

Customer and Team Communication

  • Support customer meetings and provide clear, accurate follow-up documentation.
  • Maintain open communication among internal departments, customers, vendors, and project partners.
  • Help ensure the project team communicates a consistent message regarding scope, schedule, risks, and required decisions.
  • Coordinate customer visits, inspections, witness testing, and shipment-readiness reviews.
  • Raise concerns promptly and contribute practical, solution-oriented recovery options.

Quality and Closeout

  • Coordinate required inspection points and quality-gate documentation with the Quality team.
  • Track nonconformance reports, punch-list items, corrective actions, and final acceptance requirements.
  • Confirm that shipment-release documentation is complete before units leave the facility.
  • Support turnover packages, as-built documentation, operation and maintenance manuals, warranty records, and project closeout.

Required Qualifications

  • Two or more years of experience in project coordination, construction, manufacturing, engineering, or a related environment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to read and understand project schedules, drawings, specifications, proposals, and contractual documents.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, including Excel, Word, Outlook, and Teams.
  • Experience with Procore or a comparable project-management platform.
  • Demonstrated ability to follow through on commitments and escalate risks with urgency.
  • Willingness to work in both office and active manufacturing environments.

Preferred Qualifications

  • Associate or bachelor's degree in construction management, engineering, business, manufacturing, or a related field.
  • Experience supporting modular construction, industrial fabrication, data centers, or MEP projects.
  • Familiarity with Microsoft Project, Primavera, ERP systems, cost forecasting, and change-order management.
  • Understanding of engineering, procurement, fabrication, quality, logistics, and field-installation workflows.
  • CAPM certification or interest in pursuing PMP certification.
