Job Summary
We are seeking a high-performance Executive Administrative Assistant to serve as a strategic operational partner to Copado's senior executive leadership team. This is not a traditional administrative role. It is a mission-critical position requiring exceptional organizational ability, speed, discretion, and the capacity to manage complex, competing priorities across multiple leaders simultaneously.

The executives you support operate at a high level with rigorous expectations, rapid decision cycles, and an intense pace. The ideal candidate thrives in that environment, anticipates needs across multiple stakeholders, solves problems before they surface, and ensures each leader can focus entirely on their strategic priorities.

This role requires the skillset of a seasoned executive assistant combined with strong operational execution and modern technical fluency, including proficiency with AI productivity tools and digital collaboration platforms.

Key Responsibilities

Executive Partnership

  • Serve as the primary administrative partner to multiple senior executives, ensuring seamless daily operations across each leader's priorities
  • Manage and aggressively optimize calendars for multiple executives, resolving conflicts and aligning schedules with strategic objectives
  • Act as gatekeeper and liaison between executives and internal/external stakeholders
  • Prepare executives for meetings through research, briefings, agendas, and follow-up tracking
  • Draft and manage executive communications, presentations, and correspondence on behalf of multiple leaders

Operational Execution

  • Coordinate executive team meetings, cross-functional leadership sessions, and board engagements
  • Track high-priority initiatives across leaders and ensure follow-through across departments
  • Maintain organized and secure executive documentation and records for multiple stakeholders
  • Execute special projects and operational initiatives on behalf of the leadership team
  • Balance and triage competing requests across executives, escalating conflicts as appropriate

Communication & Stakeholder Management

  • Interface with senior executives, partners, clients, and board members with professionalism and executive presence on behalf of multiple leaders
  • Ensure clear, coordinated communication between the leadership team and the broader organization
  • Manage sensitive and confidential information across multiple executives with the highest level of discretion

Travel, Logistics & Financial Administration

  • Quarterly travel required (if applicable)
  • Coordinate complex domestic and international travel arrangements with detailed itineraries for multiple executives, often simultaneously
  • Manage expense reporting across multiple cost centers
  • Oversee logistical planning for executive meetings, events, and engagements

Technology & AI Productivity

  • Leverage AI tools to streamline workflows, research, summaries, document drafting, and task automation across the leadership team
  • Maintain high efficiency using digital productivity and collaboration platforms
  • Support executives with data tracking, reporting, and digital organization


Qualifications & Experience

  • 5+ years of experience supporting multiple C-Suite executives or a senior leadership team
  • Proven ability to manage competing priorities across multiple stakeholders in high-pressure, fast-moving environments
  • Exceptional organizational and project management skills
  • Advanced written and verbal communication abilities
  • Strong critical thinking and problem-solving skills with the ability to triage across leaders
  • Ability to anticipate needs and execute with minimal direction
  • Absolute discretion when handling confidential information across multiple executives


Required Technical Proficiency

  • AI productivity tools (research, summaries, document drafting, workflow optimization)
  • Microsoft Excel (data organization, reporting, and tracking)
  • Expensify (expense management across multiple accounts)
  • Google Meet (meeting coordination and virtual communication)
  • Google Workspace (Docs, Sheets, Drive, Calendar — including multi-calendar management)
