Job Description
Associate College Registrar - South Campus
- Provide direct supervision of staff to include coordinating and delegating work, personal and professional development, coaching and performance management. Supervise, evaluate and train 11 full-time staff and 2 part-time staff providing customer service for Admissions, International Admissions, incoming transcript processing, out-going transcript request processing, graduation, verification of enrollment, commencement ceremony, and residency
- Ensure meningitis documents are processed in a timely manner. Ensure Dynamic Forms are functioning, and documents are indexed.
- Records Management-Responsible for directing effective methods of accessing, handling, storage, and disposal of active and inactive student records in compliance with state and federal regulations. Responsible for the day-to-day operation of student records, including the electronic records imaging system.
- Ensure Perceptive and Brainware are functioning properly for the efficient processing of incoming transcripts. Work with IT staff as needed to resolve issues.
- Serve as Residency Determining Official. Determine the tuition rate of students as stated by the Texas Higher Education Coordinating Board. Determine acceptable documentation that will prove in-district, out-of-district, out-of-state or out-of-country residency status. Run report to verify correct status and notify students if changes were necessary. Train staff in proper procedures.
- Graduation and Commencement-Audit the graduation applicant records to verify their eligibility. Promote graduation application deadline. Solve curriculum issues as they relate to a student’s eligibility for graduation.
- Banner Trouble Shooting-Solve registration, graduation and application issues as they relate to Banner.
- Manage the dissemination of information regarding SJC admissions and international admissions. Supervise staff in dealing with application issues, transcript processing, and entering TSI.
- Monitor the receipt of and confidential maintenance of Official Grades, Grade Changes and Official Class Rolls.
- Enforcement of Federal Education Rights to Privacy Act (FERPA) regulations. Ensure that staff follow the FERPA regulations in dealing with students’ records. Maintain confidentiality of student records.
- Monitor Departmental budget.
- Monitor website, catalog and schedule information and recommend changes.
- Forms-Update student forms used in the Student Records Management Office as rules, regulations, and policies change.
- Enforce Texas Success Initiative (TSI) standards as they relate to registration.
- Monthly reporting of office activities.
- Other Duties as assigned
- Working knowledge of collegiate admissions processes.
- Excellent interpersonal and communication skills required.
- Working knowledge of computing systems and software required.
- Flexibility and willingness to assume additional duties is mandatory.
- Bachelor’s Degree from regionally accredited college or university.
- An associate’s degree and four years of additional directly related experience, above and beyond the minimum experience requirement may be considered in lieu of a bachelor’s degree.
- Master’s Degree
- 3 years’ full-time experience in higher education and three years direct supervisory experience.
- Management experience and 5 years’ experience in a higher education environment.
Salary Grade: 116
