GENERAL SUMMARY
HT BOLTING SYSTEMS, a division of HYDRAULIC TECHNOLOGIES, is a full service global manufacturer of controlled bolting products, including hydraulic torque and tensioning systems, certified bolting training programs, product rentals, and flange management database software. We are currently recruiting for an Inside Sales Coordinator/Admin person to work in our Pasadena rental facility. HT Bolting Systems rental business is a fast paced, emergency based business and requires an individual that works well under pressure, can handle many tasks at one time, and remain organized.
PRINCIPLE DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
To deliver excellent customer service by responding to inbound customer requests via phone, email, and walk-in visits, while proactively making outbound calls to customers and prospects to develop new business opportunities, strengthen customer relationships, and support sales objectives, ensuring accurate and timely completion of all related paperwork.
Duties included but not limited to:
- Respond to customer inquiries and support requests via phone, email, and walk-in traffic, providing exceptional customer service and technical product guidance.
- Process rental and sales transactions, including order entry, quotations, stock availability checks, invoicing, and customer documentation.
- Coordinate rental tooling, equipment availability, and customer requirements to ensure timely and accurate fulfillment.
- Manage customer repair activities, including generating work orders, sourcing parts from third-party vendors, maintaining repair records, and invoicing completed work.
- Maintain accurate customer records and complete all required paperwork and system transactions in Sirius, SAP, and other company systems.
- Collaborate with branch personnel, outside sales representatives, and operations teams to support customer needs and ensure efficient branch operations.
- Proactively contact existing customers to follow up on rentals, quotations, repairs, and service opportunities while strengthening customer relationships.
- Conduct outbound calls to prospective customers to identify new business opportunities, generate leads, promote company products and services, and support branch sales objectives.
- Assist with special projects and other branch operational duties as assigned.

SKILLS
- Must be effective at managing multiple tasks
- Be very organized and work well under pressure in a fast paced environment
- Work independently, be a self-starter, and self-motivated
- Excellent written and verbal communication skills
- Must be proficient in Microsoft Office Suite of programs and able to learn new programs.
- Must possess a strong mechanical aptitude and technical understanding to support customers and recommend appropriate products and services
EDUCATION AND EXPERIENCE
- Minimum five (5) years of experience in inside sales, customer service, rental coordination, or a related role within an industrial environment.
- Proven ability to provide exceptional customer service, manage multiple priorities, and maintain strong customer relationships.
- Experience preparing quotations, processing orders, coordinating rentals, and supporting customer repairs.
- Working knowledge of industrial tools, equipment, maintenance, construction, petrochemical, or related industries preferred.
- Experience with ERP, CRM, rental management, or order-entry systems (SAP, Sirius, or similar) preferred.
- Experience within an industrial equipment rental organization is highly desirable.
- Strong communication, organizational, and problem-solving skills with a focus on accuracy and attention to detail.
