Position Summary

The Project Manager – Operations is responsible for planning, coordinating, and executing strategic and operational initiatives across the Management Services Organization (MSO) and its affiliated physician practices. Reporting directly to the Senior Vice President of Operations, this role serves as a key resource for translating operational priorities into structured project plans, driving initiatives forward, and ensuring projects are completed on time and with clearly defined outcomes.

This position works closely with Operations leadership, practice leadership, physicians, Finance, Human Resources, Revenue Cycle Management, Compliance, Business Development, IT, and other functional teams to support practice operations, integrations, process improvement, growth initiatives, and organizational priorities.

The ideal candidate is highly organized, execution-focused, comfortable managing multiple priorities simultaneously, and skilled at creating structure and accountability in a fast-paced, multi-site healthcare environment.

Essential Duties & Responsibilities

Project Management & Execution

• Lead operational projects from initial planning through implementation, stabilization, and closeout.

• Translate organizational and operational priorities into clear project plans, milestones, timelines, deliverables, and ownership assignments.

• Establish project scope, objectives, success measures, dependencies, and expected outcomes.

• Maintain centralized project trackers, implementation plans, timelines, action-item logs, and status reports.

• Facilitate project meetings and ensure decisions, responsibilities, and next steps are clearly documented.

• Proactively follow up with project owners and stakeholders to ensure deliverables remain on schedule.

• Identify project delays, risks, barriers, and dependencies and escalate concerns to the SVP of Operations when appropriate.

• Coordinate multiple concurrent projects while maintaining visibility into overall organizational priorities.

Operational Initiatives

• Support the SVP of Operations in executing strategic and operational initiatives across the organization.

• Partner with operational leaders to identify opportunities to improve efficiency, standardization, patient experience, provider support, and overall practice performance.

• Assist with the implementation of new operational programs, services, workflows, and organizational initiatives.

• Coordinate projects involving multiple practices, markets, departments, and external partners.

• Develop implementation plans that clearly define responsibilities at the corporate, regional, and practice levels.

• Support operational readiness for new programs and initiatives, including workflow development, training coordination, communication, and implementation tracking.

• Monitor post-implementation performance and coordinate follow-up activities when additional operational support is needed.

Practice Integration & Growth

• Support onboarding and integration of newly affiliated or acquired physician practices into the MSO.

• Develop and maintain integration checklists, project plans, timelines, and accountability tools.

• Coordinate cross-functional integration activities involving Operations, HR, Finance, RCM, Compliance, IT, credentialing, marketing, and other departments.

• Assist with new location openings, practice expansions, service-line launches, and operational transitions.

• Track integration milestones and identify potential barriers that could impact operational readiness.

• Help ensure new practices and locations are effectively transitioned into established MSO processes and operating standards.

Process Improvement & Standardization

• Evaluate existing operational processes and identify opportunities for greater efficiency, consistency, and scalability.

• Work with department and practice leaders to document current-state and future-state workflows.

• Assist in developing and implementing standardized operating procedures, workflows, templates, and operational tools.

• Coordinate process-improvement initiatives across practices and departments.

• Identify recurring operational challenges and work with leadership to develop sustainable solutions.

• Help ensure successful initiatives and best practices are replicated across appropriate practices and markets.

Performance Tracking & Reporting

• Develop and maintain project dashboards, scorecards, and status reports for Operations leadership.

• Track project milestones, completion rates, outstanding action items, risks, and key performance indicators.

• Provide the SVP of Operations with regular updates regarding project status, barriers, decisions needed, and upcoming milestones.

• Partner with operational and analytical teams to evaluate the impact of implemented initiatives.

• Use data to identify trends, measure project outcomes, and support operational decision-making.

• Ensure project documentation remains accurate, organized, and accessible to appropriate stakeholders.

Cross-Functional Collaboration

• Serve as a central point of coordination between Operations and other functional departments for assigned projects.

• Build productive working relationships with physicians, practice administrators, operational leaders, and corporate department leaders.

• Facilitate cross-functional meetings and ensure appropriate stakeholders remain informed and engaged.

• Clearly communicate project expectations, deadlines, dependencies, and changes.

• Help resolve gaps in ownership or communication that could delay implementation.

• Coordinate with external vendors and partners when their involvement is necessary for successful project execution.

Leadership Support

• Provide project-management support for initiatives sponsored by the SVP of Operations.

• Prepare project updates, executive summaries, presentations, meeting materials, and decision-support information.

• Maintain visibility into key Operations priorities and assist leadership in monitoring organizational commitments.

• Coordinate follow-up from leadership meetings to ensure decisions translate into action.

• Assist with special projects and other strategic initiatives as assigned.

Requirements:

Qualifications

Required

• Bachelor’s degree in Business Administration, Healthcare Administration, Operations, Project Management, or a related field.

• 3–5+ years of project management, healthcare operations, practice management, consulting, or related experience.

• Experience managing multiple projects and competing priorities simultaneously.

• Strong organizational, planning, documentation, and follow-through skills.

• Demonstrated ability to coordinate projects across multiple departments and stakeholder groups.

• Strong written and verbal communication skills.

• Ability to develop project plans, timelines, trackers, executive summaries, and presentations.

• Strong proficiency with Microsoft Office, including Excel, PowerPoint, Word, Outlook, and Teams.

Preferred

• Experience within a healthcare MSO, physician practice management organization, multi-site medical group, or similar healthcare organization.

• Experience supporting physician-practice integrations, acquisitions, new-site openings, or operational implementations.

• Experience with process improvement and workflow standardization.

• Familiarity with healthcare operations, including revenue cycle, credentialing, compliance, patient access, provider operations, and ancillary services.

• Experience with project-management platforms such as Monday.com, Smartsheet, Asana, Microsoft Project, or similar tools.

• PMP, CAPM, Lean Six Sigma, or other project/process-improvement certification is preferred but not required.

Work Environment & Travel

• Position operates within a fast-paced, multi-site healthcare environment.

• Periodic travel to physician practices, corporate meetings, implementation sites, and other company locations may be required.

• Must be able to adjust priorities as organizational needs evolve and manage multiple time-sensitive initiatives simultaneously.
