Basic Function
This position provides administrative support to the Psychology Department's master's degree program in Clinical Mental Health Counseling. Working closely with the Program Director, this position ensures that the master's program runs efficiently by coordinating with faculty, students, and alumni, as well as other University staff and administrative departments. Extensive understanding of the evolving objectives and goals of this newly inaugurated degree program is essential to support the ongoing expansion of clinical and training activities.
Major Responsibilities
A. Masters in Mental Health Counseling (MAMHC) Program Support (95%)
- Clinical Office Support: Create confidential client files for 2nd year clinical practicum and internships. Coordinate with the MAMHC Program Director to update the Program Manual annually and as needed.
- External Practicum Support: Assist students and Program Director with required paperwork for external practicum placements; collect and file external practicum agreements and student liability insurance documentation annually; assist in preparing introductory letters; prepare and distribute confidential evaluation forms for students in external and departmental practica on a semi-annual basis.
- Student Competency Evaluations: Assist Program Director and faculty in collecting student evaluation data on a semi-annual basis; update and distribute student competency forms as needed; prepare and distribute evaluation letters; collect and file signed competency evaluation forms on an annual basis.
- Clinical Workshops: As needed, support the master's program in scheduling workshops, including coordinating with external speakers, room reservations, media setup, distribution of materials, and processing honorarium payments.
- MPCAC accreditation preparation: Request and compile data from current mental health counseling students, faculty, and alumni for the purpose of preparing the program for accreditation with the Masters in Psychology and Counseling Accreditation Council (MPCAC); complete and submit the annual report before the assigned deadline; prepare and post required outcome tables for the Psychology website.
- MPCAC Site Visit (frequency TBD): Aid in preparation of the MPCAC self-study report; compose, post, and gather data from alumni, student, and faculty surveys; assist the Program Director and faculty in preparing data tables; serve as primary contact for site visitors.
MAMHC Program Administration:
- Track portfolio and practicum/internship completion progress; generate data for year-end graduate student evaluations.
- Assist Graduate Education Committee (GEC) with periodic update and distribution of the Psychology Graduate Student Handbook and other policy-making activities.
- Maintain the M.A. in Mental Health Counseling SharePoint site, including updates to documents, current events, student assignments, and graduate student resource links.
- Program Assessment and Review: Aid in preparation for departmental self-studies involving the MAMHC program; Gather data from alumni, student, and faculty surveys; assist MAMHC Program Director/Department Chair in preparing data tables and student outcomes data; serve as primary contact for the MAMHC program review for site visitors and departmental assessment coordinators.
- Student Applicant Interview Days: Work with Graduate Admissions and Department Administrator to facilitate communication with faculty regarding applicants and interviewees. Serve as primary contact for prospective graduate students invited to interview; create in-person or virtual schedules including orientation, interviews, tours, and Q&A sessions. Compile and distribute applicant rating materials for faculty discussion.
- Faculty Support: Provide administrative support to Department Administrator and MAMHC program faculty, including processing reimbursements; preparation for classes (proofreading, editing, and copying syllabi, handouts, and exams); scanning; media requests and setup; library and web searches; contacting publishers for examination and desk copies; assisting faculty in preparing and editing confidential recommendation letters and other correspondence for undergraduates, graduate students, and alumni.
B. Special Projects (5%)
- Web Editing: Maintain and update MAMHC program outcome data tables; assist the Department Administrator with general web updates, as needed.
- Assist with various department events and activities, conferences, meetings.
Job Requirements:
- Bachelor's degree strongly preferred.
- Minimum of three (3) years of relevant experience
Required knowledge, skills, and abilities:
- Strong written and verbal communication skills.
- Critical thinking and problem-solving; ability to create and follow effective processes.
- Ability to work collaboratively with diverse faculty, staff, and graduate students, and to maintain confidentiality and discretion regarding client information and records.
- Ability to work independently and effectively, with strong time management skills.
- Ability to work on multiple projects and meet multiple deadlines.
Technology
- Proficiency in the Microsoft Office Suite, especially Word, Excel (calculations, formulas, pivot tables), Publisher, PowerPoint, and OneDrive
- Proficiency in the Qualtrics Survey System
- Experience with Microsoft Access a plus
- Training in web editing
- Training in Cayuse grant management system
- Training in Banner financial and CU Web needed for work with grant budgets.
- Training in online procurement system (SmartBuy Plus) required for purchasing and payment tasks
Additional Information:
Expected Hiring Range: $19.81 to $23.94 per hour

The compensation for this position will be determined based on factors that include available budget, internal equity, and the selected candidate's qualifications, experience, education, and other job-related credentials. This range represents Clark University's good-faith estimate of the expected hiring range at the time of posting consistent with Clark's compensation philosophy and internal alignment.
