Job Description:

Abby Kelley Foster Charter Public School is seeking dependable and professional Daily Substitute Clerks to provide front office coverage on an as-needed basis.


The Daily Substitute Clerk provides temporary clerical and administrative support to the school office when regular clerical staff are absent. The Substitute Clerk helps ensure the office remains organized, welcoming, and responsive to the needs of students, staff, families, and visitors.

The Substitute Clerk is responsible for greeting and assisting visitors, answering and directing telephone calls, supporting routine student attendance and data entry, receiving and distributing mail, completing general clerical tasks, and providing support to school staff as needed. The position requires professionalism, confidentiality, flexibility, sound judgment, and the ability to follow established school procedures while working independently and as part of a team.

The Substitute Clerk will model the mission and character virtues of Abby Kelley Foster Charter Public School and contribute to an inclusive, respectful, and welcoming school environment where staff and students of all racial, cultural, religious, class, and/or gender backgrounds are welcome and celebrated..

Key Responsibilities:

  • Greet and assist students, staff, families, and visitors in a professional and welcoming manner, while following established school visitor and safety procedures.

  • Answer and direct telephone calls and respond to routine questions.

  • Direct visitors and inquiries to the appropriate staff member.

  • Maintain strict confidentiality of student, staff, and school information.

  • Assist with student arrival, dismissal, early dismissals, and other front office procedures.

  • Process student attendance and routine data entry as directed.

  • Receive, sort, and distribute incoming mail and deliveries.

  • Distribute school-wide communications as directed.

  • Perform basic clerical tasks such as copying, filing, preparing materials, and organizing documents.

  • Provide clerical support to administrators and school staff as needed.

  • Maintain an organized and welcoming office environment.

  • Follow established school policies, procedures, work instructions, emergency protocols, and confidentiality requirements.

  • Exercise appropriate judgment and seek assistance from a building administrator or other designated staff member when needed.

  • Perform other related duties as assigned.

Qualifications:

  • High school diploma or equivalent required; Associate’s Degree or higher in Administration, Education, or a related field preferred.

  • Previous experience working in an administrative role, preferably within an educational setting.

  • Strong organizational skills and attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with student information systems.

  • Ability to handle confidential and sensitive information with discretion.

  • Strong communication skills, both written and verbal.

  • Ability to multitask, prioritize responsibilities, and meet deadlines.

  • Strong interpersonal skills and the ability to work collaboratively with diverse groups, including administrators, teachers, parents, and students.

  • Ability to adapt in a fast-paced environment and take initiative to resolve issues.

  • Bilingual candidates are encouraged to apply; Portuguese or Spanish language skills are preferred.

Additional Requirements:

  • Background check and fingerprinting as required by Massachusetts state regulations.

  • Ability to work independently and as part of a team.

  • Completion of any required training or certifications as mandated by the district.

Compensation and Benefits:

  • Daily, as-needed position with no guaranteed hours.

  • Schedule is based on the operational needs of the school.

  • Substitute employees are not eligible for the benefits provided to regular full-time or part-time employees.
