About the Role

We are looking for a friendly, organized, and dependable Patient Care Coordinator to join our team. This is a fast-paced, people-focused role for someone who enjoys helping others, staying busy, and keeping things running smoothly.

As a Patient Care Coordinator, you will be one of the main points of contact for our patients. You will welcome patients when they arrive, help manage their appointments, answer questions, communicate by phone, and help keep the front desk running efficiently.

The right person for this role is someone who can multitask without losing attention to detail, communicate professionally and warmly, take initiative, and stay calm when things get busy. Most importantly, you should genuinely enjoy helping people and making their experience a positive one.


What You'll Do
  • Welcome and greet patients in a professional, friendly, and enthusiastic manner.
  • Provide excellent customer service in person and over the phone.
  • Check patients in and accurately document no-shows according to clinic guidelines.
  • Schedule and manage patient appointments while following established scheduling guidelines.
  • Help keep provider schedules full by utilizing available appointment times appropriately.
  • Confirm upcoming evaluations and appointments.
  • Follow up with patients who miss appointments and help them get back on track with their care.
  • Answer incoming calls and respond to patient questions and requests.
  • Return and document voicemail messages within 24 hours.
  • Document clear and accurate notes in patient charts.
  • Collect patient payments, including copays, by credit card, debit card, cash, or check.
  • Accurately enter payments into designated systems.
  • Monitor the waiting room and make sure patients are acknowledged and assisted promptly.
  • Maintain the lost patient log, payment log, waitlist, and online appointment requests.
  • Keep the front desk and workstation clean, organized, and welcoming.
  • Work closely with the clinic team to help ensure a smooth patient experience.
  • Perform additional duties as needed.
Requirements: What We're Looking For

  • Is comfortable using computers and learning new software.
  • Has strong attention to detail and takes pride in doing things correctly.
  • Is friendly, professional, and comfortable communicating with patients in person and over the phone.
  • Can build rapport and make patients feel welcomed and cared for.
  • Is dependable, organized, and able to manage multiple priorities at once.
  • Can think through problems and troubleshoot with minimal assistance.
  • Adapts well when schedules, priorities, or patient needs change.
  • Takes initiative and looks for ways to help without always being asked.
  • Is willing to jump in, support the team, and go the extra mile for our patients.
  • Can remain professional, positive, and patient in a busy environment.
What Success Looks Like

A successful Patient Care Coordinator is someone who keeps the front desk moving, notices what needs to be done, communicates clearly, and makes patients feel taken care of.

You may be answering a phone call while checking in a patient, adjusting a schedule, and helping another patient with a question. We need someone who can prioritize, stay organized, and keep a positive attitude even when things get busy.


Physical Requirements

This position is primarily sedentary and requires the ability to sit for extended periods, with occasional standing, walking, bending, crouching, kneeling, reaching, and lifting or carrying items weighing up to 10 pounds.

The position also requires frequent use of a computer and other office equipment, including repetitive movements of the hands, wrists, and fingers, as well as the ability to communicate clearly and receive verbal information in a typical office environment.
