Department Overview

OHSU Clinical Transplant Services includes kidney, pancreas, liver, and heart transplant programs. The Transplant Operations Manager provides operational leadership for all outpatient components of the transplant program, including pre-transplant evaluation, waitlist management, and post-transplant follow-up care. This role is responsible for optimizing clinic operations, improving patient access and throughput, ensuring regulatory compliance, and driving high-quality, patient-centered outcomes across the ambulatory transplant continuum.

Function/Duties of Position

Ambulatory Operations & Clinic Management

  • Oversee day-to-day operations of transplant outpatient clinics across all phases (referral/intake, evaluation, waitlist, and post-transplant care).
  • Optimize clinic templates, scheduling workflows, and provider utilization to improve access and reduce cycle times.
  • Manage clinic capacity, no-show rates, and throughput to support timely evaluations and follow-up care.
  • Partner with centralized access teams to streamline referrals, insurance clearance, and patient onboarding.

Access & Patient Flow

  • Lead initiatives to improve time from referral to evaluation and time to listing.
  • Monitor and improve patient flow across multidisciplinary visits (coordinators, providers, diagnostics, social work, financial counseling).
  • Identify and remove barriers to care, including logistical, financial, and health equity challenges.
  • Ensure seamless transitions between inpatient and ambulatory care settings.

Data & Performance Management

  • Track and report key ambulatory KPIs (e.g., referral conversion rates, time to evaluation/listing, clinic access, no-show rates, post-transplant follow-up compliance).
  • Develop and maintain dashboards to inform operational decision-making.
  • Use data analytics to identify performance gaps and implement targeted improvements.

Financial & Resource Management

  • Partner with Transplant Director and finance on ambulatory budgets, staffing models, and clinic productivity.
  • Monitor reimbursement and outpatient revenue cycle performance (e.g., authorization, billing, collections).
  • Ensure efficient resource utilization while maintaining high-quality care.

Team Leadership & Collaboration

  • Lead and support ambulatory transplant staff, including managed care coordinators, medical assistants, schedulers, and administrative personnel.
  • Foster strong interdisciplinary collaboration with physicians, APPs, nursing, social work, nutrition, pharmacy, and financial coordinators.
  • Drive staff engagement, professional development, and performance management.

Required Qualifications
  • Bachelor’s degree required (Healthcare Administration, Nursing, Business, or related field).
  • 5–8+ years of healthcare operations experience, with a strong emphasis on ambulatory services.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Strong knowledge of ambulatory operations, scheduling optimization, and access management.
  • Familiarity with transplant regulatory requirements (UNOS/OPTN/CMS).
  • Data-driven mindset with strong analytical and reporting skills.
  • Excellent leadership, communication, and stakeholder management abilities.
  • Financial acumen in outpatient operations and reimbursement.

Preferred Qualifications
  • Master’s degree preferred (MHA, MBA, MPH, or similar).
  • Experience in transplant services or complex specialty care programs preferred.
  • Proven experience improving clinic access, throughput, and patient flow.
  • Experience in transplant or specialty ambulatory program management.
  • Experience with EMR systems and transplant reporting tools (e.g., EPIC, UNet).

Additional Details

Primarily located at OHSU Marquam Hill campus and CHH. May require occasional flexibility for clinic coverage and program needs.

Schedule will be primarily Monday-Friday during business hours, but flexibility in schedule will be dependent on program needs.
