Position Summary:

The Women's Health Medical Assistant (MA) supports providers and clinical staff in delivering high-quality obstetrical and gynecological care within a fast-paced outpatient women’s health clinic environment. Responsibilities include patient rooming, clinical documentation support, specimen collection, phlebotomy, vaccine administration and tracking, prenatal support, procedure preparation, patient education, and coordination of care needs. The MA is expected to maintain efficient patient flow while providing compassionate, professional, and sensitive care to patients with diverse reproductive, prenatal, and gynecological healthcare needs.

Essential Duties and Responsibilities

• Prepare patients for obstetrical and gynecological examinations and procedures by obtaining and documenting vital signs, patient history updates, chief complaints, medication reconciliation, and other relevant clinical information in the electronic medical record.

• Assist providers during examinations, procedures, and treatments by preparing instruments, equipment, sterile supplies, and anticipating provider and patient care needs.

• Recognize urgent or emergent obstetrical and gynecological concerns and communicate promptly with providers to support timely patient care and intervention.

• Coordinate patient care needs including referrals, prior authorizations, diagnostic testing, prenatal testing, follow-up appointments, and patient scheduling needs.

• Assist providers with patient paperwork and documentation related to pregnancy, leave of absence requests, disability forms, FMLA, ADA, and other medical documentation needs.

• Provide discharge instructions, medication guidance, prenatal education, vaccine education, and follow-up instructions as directed by providers.

• Ensure laboratory results, imaging, reports, consult notes, and other relevant documentation are available and accessible in the electronic medical record prior to patient appointments.

• Handle telephone and EMR portal messages and communicate effectively with patients, pharmacies, laboratories, imaging centers, and outside healthcare organizations to support continuity of care.

• Monitor and maintain refrigerator temperature logs, vaccine storage requirements, emergency medications, sterilization processes, and expired medications/supplies in accordance with regulatory standards.

• Maintain adequate inventory and stock of women’s health supplies, vaccines, instruments, procedure materials, and exam room supplies.

• Support front office workflows as needed, including patient registration, scheduling, check-in/check-out functions, insurance verification, and referral coordination.

• Perform all other duties as assigned by clinic leadership.

Medical Assistant Advancement

Granville Health System promotes and encourages the advancement of Medical Assistants. Medical Assistant advancement is tailored to support professional growth, while aiming to acknowledge individuals who excel in enhancing clinical practice(s). Medical Assistant advancement consists of three levels as follows:

Medical Assistant Level I

• Completion of a process improvement initiative utilizing the SMART goal framework. It is a requirement to complete a process improvement initiative every 12-months.

Medical Assistant Level II

• Meet the requirement of Level I, in addition to:

• Cross-training proficiency and coverage support. It is a requirement to complete cross-training competency every 12-months.

Medical Assistant Level III

• Meet the requirements of Level II, in addition to:

• Certification as a Medical Assistant from one of the following accredited organizations: American Association of Medical Assistants (AAMA), American Medical Technologists (AMT), National Health Career Association (NHA-CCMA), National Association of Health Professionals (NRCMA), or National Center for Competency Testing (NCMA).

Critical Competencies:

Demonstrates strong knowledge and understanding of obstetrical and gynecological clinical workflows, procedures, terminology, and women’s health standards of care.

• Demonstrates competency to perform clinical duties including blood draws/phlebotomy, specimen collection and processing, urine testing, point-of-care testing, administration of injections and immunizations/vaccines, and accurate vaccine documentation and tracking in applicable registries and electronic medical records.

• Demonstrates competency in supporting obstetrical and gynecological care needs, including fetal heart tone monitoring, non-stress tests (NSTs), pregnancy-related screenings, prenatal laboratory collection, and patient education.

• Demonstrates competency in supporting and maintaining exam and procedure rooms for women’s health visits and procedures, including PAP smears, pelvic exams, prenatal visits, IUD insertions and removals, endometrial biopsies, colposcopies, and other gynecologic procedures.

• Demonstrates knowledge of women’s health instruments, supplies, and equipment, including speculums, fetal dopplers, colposcopy equipment, biopsy instruments, and prenatal testing supplies.

• Ability to work efficiently and accurately in a fast-paced specialty clinic environment while maintaining exceptional patient care and professionalism.

• Demonstrates excellent skillset of women’s health instruments, prenatal care support, vaccine management, specimen collection, and clinical documentation requirements.

• Demonstrates ability to anticipate provider and patient needs during examinations and procedures to support efficient clinic flow and positive patient experiences.

• Demonstrates strong organizational skills with the ability to prioritize tasks, manage multiple responsibilities, and adapt to changing patient volumes and schedules.

• Demonstrates ability to recognize urgent or emergent patient concerns and communicate appropriately with providers and clinical leadership.

• Demonstrates excellent interpersonal and communication skills with the ability to provide compassionate, sensitive, and respectful care to patients with diverse reproductive and women’s health needs.

• Demonstrates strong attention to detail and commitment to accurate documentation, patient safety, infection prevention, and regulatory compliance.

• Demonstrates ability to maintain patient confidentiality and adhere to HIPAA, CLIA, vaccine storage, and other regulatory standards.

• Demonstrates ability to collaborate effectively with providers, clinical staff, and administrative team members to support coordinated patient care and clinic operations.

Demonstrates an understanding of age-specific care requirements for patients across the lifespan, including:

•Neonatal/Infant - up to and including the first year of life;

•Child/Adolescent - from infancy to teenage years (up to 18 years of age);

•Young Adult/Adult - from teenage (18 years) to Geriatric (Adult);

•Geriatric - elder adult, 65 and over.

Education Required:

'•High School Diploma or GED required; must be a graduate from an accredited Medical Assistant program.

• Experience and proficiency with phlebotomy, specimen collection, vaccine administration, and electronic medical records.

•Proficient computer, typing, and electronic medical record documentation skills.

• Strong organizational, communication, and multitasking abilities with the ability to prioritize responsibilities in a fast-paced specialty clinic environment.

• Ability to adapt to changing patient volumes, provider needs, workflows, and clinic priorities.

• Demonstrates sound judgment, professionalism, problem-solving abilities, and the ability to remain calm and composed in urgent or emergent situations.

• Ability to maintain confidentiality and comply with HIPAA, OSHA, CLIA, vaccine management, and infection prevention standards.

Preferred:

Medical Assistant certification

Minimum of one (1) year of clinical experience in a medical office or outpatient clinic preferred; women’s health, OB/GYN, prenatal, or specialty clinic experience.

Knowledge of obstetrical and gynecological terminology, workflows, and outpatient clinical procedures.
