Executive Personal Assistant (Healthcare Executive)Overview

We are seeking a highly organized, proactive, and confidential Executive Personal Assistant (EPA) to support a senior healthcare executive. This role involves a blend of professional executive support and personal assistance, requiring exceptional attention to detail, sound judgment, and the ability to manage competing priorities within a fast-paced healthcare environment. The ideal candidate will be adaptable, resourceful, and comfortable with regular travel.

Key Responsibilities
  • Provide high-level administrative support, including complex calendar management, meeting coordination, and correspondence
  • Coordinate internal and external meetings with physicians, clinical teams, stakeholders, and partners
  • Prepare briefing materials, reports, presentations, and agendas for executive meetings and healthcare-related initiatives
  • Manage communication on behalf of the executive, ensuring timely and professional responses
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and expense reporting
  • Accompany the executive on travel as required to provide real-time administrative and logistical support
  • Maintain strict confidentiality when handling sensitive medical, operational, and organizational information
  • Act as a liaison between the executive and internal departments, healthcare providers, and external partners
  • Support operational projects, clinic openings, or healthcare initiatives as needed
  • Handle personal tasks and scheduling, including appointments, reservations, and event planning
  • Anticipate needs and proactively address challenges to ensure seamless daily operations
Qualifications
  • Strong understanding of healthcare environments, terminology, and professional dynamics (considered an asset)
  • Exceptional organizational, multitasking, and time-management skills
  • Excellent verbal and written communication abilities
  • High level of discretion and professionalism, particularly when handling sensitive information
  • Proficiency in Microsoft Office Suite and scheduling tools
  • Ability to work independently and adapt to shifting priorities
Travel Requirements
  • Willingness to travel frequently (domestic and occasional USA travel)
  • Availability to accompany the executive on trips, including short-notice travel
  • Flexibility with work hours to accommodate travel schedules and executive needs
