Job Description

Job Title: Administrative Assistant
Company Location: Progressive Spine & Orthopaedics
 Englewood, NJ

Full-Time | Monday–Friday | In-Person

Compensation: $26.00–$30.00 per hour

The person we're looking for probably isn't looking for "just a job."

You're the person people rely on because things don't fall through the cracks when you're involved.

You naturally notice details that others overlook.

You enjoy bringing order to complexity.

You find satisfaction in creating systems, staying organized, and knowing that everything is exactly where it should be.

Friends or coworkers have probably described you as:
- "The organized one."
- "The person who always remembers."
- "The one who keeps everyone else on track."

If crossing every item off your checklist gives you a sense of accomplishment—and knowing your work allows an entire organization to operate more efficiently motivates you—you may be exactly who we're looking for.

At Progressive Spine & Orthopaedics, we're searching for an Administrative Assistant who takes genuine pride in accuracy, consistency, and supporting a high-performing healthcare organization. This role is about far more than paperwork. You'll become a trusted operational partner supporting leadership, physicians, and multiple office locations while helping ensure that the countless details behind exceptional patient care are handled with excellence.

Why This Role Matters
Every physician credential renewed.
Every office properly stocked.
Every provider account created correctly.
Every supply order placed on time.
Every process improved.
Every detail you manage allows our providers to focus on what matters most—our patients.

Behind every well-run organization is someone who quietly ensures everything keeps moving.

That person could be you.

What You'll Be Responsible For:
- You'll play an essential role in keeping our organization running smoothly by:
- Supporting provider onboarding and credentialing
- Maintaining confidential records and business documentation
- Coordinating incoming and outgoing mail, packages, and correspondence
- Ordering office supplies and managing inventory across multiple locations
- Managing user access for various software platforms
- Assisting with office technology and equipment tracking
- Coordinating vendors and facility-related needs
- Preparing meetings and coordinating lunches and special events
- Maintaining internal directories and organizational resources
- Monitoring company accounts and identifying discrepancies
- Supporting leadership with administrative projects and operational initiatives
- Identifying opportunities to improve systems and streamline processes

While priorities may shift throughout the day, your ability to stay organized, think ahead, and follow through will create stability for everyone around you.

The Person Who Thrives Here...
This position is likely a great fit if you naturally find yourself saying things like:
- "I love checking things off my list."
- "I can't ignore something that's disorganized."
- "I usually catch mistakes before anyone else."
- "I actually enjoy creating spreadsheets and tracking information."
- "I like building systems that make everyone's job easier."
- "People trust me because they know I'll follow through."
- "I don't mind repetitive tasks if they serve an important purpose."
- "I enjoy learning new software and figuring out how things work."
- "I take pride in work that others don't have to double-check."

What We're Looking For:
Our ideal candidate is someone who:
- Has at least one year of administrative or office support experience (healthcare experience is a plus)
- Is exceptionally organized and dependable
- Learns new technology quickly
- Maintains confidentiality and professionalism
- Communicates clearly and respectfully with providers, employees, and vendors
- Can balance multiple priorities without sacrificing quality
- Enjoys both independent work and collaborating with a team
- Takes ownership rather than waiting to be asked
- Looks for ways to improve processes instead of simply maintaining them
- Understands that attention to detail creates trust

Education:
- High School Diploma or equivalent required
- Associate degree preferred

Why People Enjoy Working Here:
At Progressive Spine & Orthopaedics, we believe that exceptional organizations are built by exceptional people.

We value individuals who care deeply about doing quality work, supporting one another, and continuously improving.

When you join our team, you'll find:
- Competitive hourly pay ($26.00–$30.00 based on experience)
- Monday–Friday schedule with evenings and weekends free
- Comprehensive benefits package for eligible employees
- Supportive leadership that values your ideas and contributions
- Opportunities for professional growth and development
- A collaborative environment where your work truly matters
- A stable, growing organization committed to excellence

Your contributions won't go unnoticed here. The systems you build, the details you manage, and the consistency you bring will have a meaningful impact on our providers, our patients, and our entire organization.

Work Schedule:
Full-Time | In-Person
Choose one of the following schedules:
8:00 AM – 4:00 PM
9:00 AM – 5:00 PM

Work Environment:
This is an in-person position based in our Englewood, NJ office. You'll work closely with leadership, providers, employees, and vendors while supporting operations across multiple locations. The role requires frequent use of multiple software platforms and occasional lifting or carrying of office supplies or packages up to 25 pounds.

Before You Apply...
This role is ideal for someone who enjoys creating order, solving logistical puzzles, and being the dependable person others count on.

It may not be the best fit if you prefer highly social or sales-focused roles, become bored by detailed administrative work, or enjoy environments with little structure. Success in this position comes from finding genuine satisfaction in organization, accuracy, consistency, and helping others succeed through exceptional operational support.

If reading this description felt like someone was describing you, we'd love to meet you.
