Position Title: Fleet & Licensing Specialist
POSITION SUMMARY
The Fleet Licensing and Registration Specialist plays an important role in keeping PTRs growing fleet moving by ensuring vehicles and equipment are properly titled, registered, plated, and compliant with applicable state and federal requirements.
In this role, youll manage licensing and registration activities throughout the lifecycle of PTR equipmentfrom titling and plating newly acquired units to processing annual renewals and releasing titles when equipment is sold. Youll coordinate closely with internal teams, external facilities, customers, and government agencies to ensure documentation is accurate, deadlines are met, and plates and registration materials reach their destinations.

Onsite in Fort Wayne, IN
RESPONSIBILITIES
- Manage the registration and plating process for new fleet equipment through the Indiana Department of Revenue (INDOR) portal, ensuring plates and documentation are delivered to the appropriate location.
- Prepare, organize, batch, and submit title documentation for new equipment to the BMV accurately and on time.
- Coordinate and track the shipment of plates, key tags, decals, and other required materials for new units arriving at external facilities.
- Manage title releases for sold equipment and ensure plates are removed, returned, and properly accounted for within PTRs available plate inventory.
- Maintain accurate electronic records by scanning and saving new equipment, title, registration, and related documentation within Microsoft D365.
- Coordinate annual plate renewals for PTR fleet equipment, ensuring renewals are completed by required deadlines and updated registration cab cards are distributed to the appropriate customer fleet managers.
- Respond to internal and external customer requests for registration documentation and provide timely support when replacement or updated materials are needed.
- Order, track, and ship replacement plates for lost, stolen, or damaged plates.
- Stay current on changes to licensing, registration, plating, and titling requirements and communicate relevant updates to impacted teams.
- Coordinate the annual renewal of PTR dealer licenses and support other fleet licensing and registration needs as assigned.
REQUIREMENTS
MUST HAVE
- High school diploma or GED or, in lieu of education, 12 years of relevant experience in administration, fleet operations, licensing and registration, titling, documentation, or related area.
- Strong organizational skills with exceptional attention to detail, accuracy, and follow-through.
- Ability to manage multiple deadlines, requests, and priorities while maintaining accurate records.
- Strong written and verbal communication skills with the ability to work effectively with internal teams, customers, external partners, and government agencies.
- Proactive and dependable approach to work with the ability to identify and resolve issues as they arise.
- Comfortable working with detailed documentation and following established processes and regulatory requirements.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Ability to learn and navigate systems used for fleet documentation, registration, and recordkeeping.
- Ability to thrive in a fast-paced, collaborative, team-oriented environment.
NICE TO HAVE
- Previous experience with vehicle or equipment titling, plating, licensing, or registration.
- Experience working with a fleet, dealership, rental, transportation, automotive, or equipment-related organization.
- Familiarity with BMV/DMV or state registration processes and documentation.
- Experience with Microsoft Dynamics 365 or a similar ERP or fleet management system.
