Executive Assistant - Corporate & Finance Operations

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant - Corporate & Finance Operations based in South Africa.

As an Executive Assistant in Corporate & Finance Operations, you will provide high-level administrative, operational, and analytical support to a fast-paced executive managing multiple business entities and investment activities. This role goes beyond traditional assistance, requiring strong business understanding, financial awareness, and the ability to coordinate complex workflows across corporate, legal, and operational functions. You will act as a key support partner, ensuring that priorities are tracked, deadlines are met, and business processes run efficiently across multiple initiatives. The environment is dynamic and detail-intensive, requiring strong ownership, discretion, and the ability to work independently with minimal supervision. You will interact with internal stakeholders, external advisors, and service providers to ensure smooth execution of corporate and financial operations. This position is ideal for someone who thrives in structured yet fast-moving environments and enjoys working at the intersection of administration, operations, and business strategy.

Accountabilities
  • Provide high-level executive support including calendar management, meeting coordination, travel arrangements, and prioritization of daily activities.
  • Prepare reports, presentations, briefings, and structured business documentation to support executive decision-making.
  • Track deadlines, action items, and project milestones across multiple business entities and initiatives.
  • Coordinate follow-ups and ensure timely execution of tasks across internal and external stakeholders.
  • Support corporate administration tasks including company registrations, filings, compliance documentation, and record maintenance.
  • Liaise with legal, financial, and advisory partners such as attorneys, accountants, and consultants.
  • Maintain and update financial and operational trackers including budgets, revenue data, expenses, and performance metrics.
  • Assist with investment-related, acquisition, and corporate development activities as required.
  • Review contracts and documents, identifying key changes, risks, and differences across versions.
  • Summarize legal, financial, and operational materials into clear and actionable insights.
  • Manage structured digital filing systems and ensure accuracy and organization of critical documentation.
  • Conduct research, prepare findings, and support process optimization and operational improvements using productivity tools and AI-enabled solutions.
Requirements
  • 5+ years of experience as an Executive Assistant, Corporate Administrator, Operations Coordinator, or in a similar high-responsibility support role.
  • Background in corporate, finance, consulting, investment, legal, or professional services environments is strongly preferred.
  • Strong business acumen with the ability to understand executive priorities and anticipate needs proactively.
  • Excellent organizational, multitasking, and time-management skills with strong attention to detail.
  • High level of discretion, professionalism, and ability to handle confidential information.
  • Strong written and verbal communication skills with the ability to summarize complex information clearly.
  • Ability to work independently with minimal supervision in a fast-paced environment.
  • Advanced proficiency in Microsoft Excel, including building and maintaining financial and operational tracking tools.
  • Experience with Google Workspace, Zoom, document management systems, and productivity tools such as ChatGPT.
  • Strong research, analytical, and problem-solving capabilities.
  • Comfortable adapting quickly to new systems, tools, and evolving business needs.
  • Proven ability to manage multiple priorities and deliver accurate, high-quality work under pressure.
