Site Supervisor Job Description

Reports to: Education Manager

Supervises: Teacher Assistants, Center Aides

Classification: Exempt

Position Purpose:

This position supports the education component by ensuring that assigned staff and classrooms meet program, site, and licensing standards, including Head Start Performance Standards. The role provides day-to-day leadership of assigned classrooms, monitoring classroom quality, supporting compliance with licensing and program standards, coaching staff, and implementing organizational systems and quality improvement initiatives under the direction of the Education Manager. Direct supervision of staff is limited to teacher assistant and center aides.

Essential Job Responsibilities:

Program Compliance and Classroom Quality

  • Implement Head Start Performance Standards, Child Care Licensing Standards, the Early Learning Framework, and other applicable regulations, standards, and best practices.
  • Conduct regular classroom observations, check-ins, and safety inspections to ensure quality programming and compliance.
  • Monitor classroom practices and provide timely feedback to individuals and classroom teams using approved observation tools.
  • Apply developmentally appropriate practices and knowledge of child development to support high-quality learning environments.
  • Implement the Pyramid Model and Conscious Discipline with guidance from the Education Manager.
  • Monitor the safety, cleanliness, and overall readiness of the site, reporting concerns to leadership as needed.
  • Assist with emergency preparedness activities and emergency drills.
  • Substitute in classrooms as needed to maintain licensing compliance and operational requirements.

Program Operations and Administration

  • Utilize program software to maintain accurate and reliable data that supports program standards, compliance, and organizational goals.
  • Complete and maintain required documentation, including referrals, injuries, and other program records.
  • Obtain and maintain required certifications and reliability in program-approved assessment, observation, curriculum and quality assurance systems.
  • Coordinate classroom supply requests and communicate operational needs to management.
  • Meet licensing requirements to serve as Sub-Director and oversee site operations in the absence of the primary director.

Leadership and Staff Supervision

  • Supervise, coach, and support Teacher Assistants and Center Aides.
  • Serve as the primary contract for classroom concerns, facilitating resolutions and involving leadership when appropriate.
  • Implement organizational goals, protocols, training initiatives, and performance expectations established by the Education Manager and leadership team.
  • Approve employee leave requests and coordinate staffing coverage to maintain classroom ratios and program operations.
  • Continue developing supervisory and leadership skills to effectively support assigned staff.

Staff Development and Professional Growth

  • Assist the Education Manager in implementing the organization’s staff development and training plan.
  • Facilitate training, meetings, coaching, and classroom observations to support employee growth and program quality.
  • Provide ongoing coaching, mentoring, and feedback to help staff meet program requirements and performance expectations.
  • Collaborate with the Education Manager and coach to support employee professional development goals.
  • Support new employee onboarding and orientation.
  • Assist with initiatives that promote employee engagement, attendance, wellness, and retention.

Communication, Collaboration, and Continuous Improvement

  • Communicate effectively with classroom staff, management, and other program components to ensure timely sharing of information and coordinated service delivery.
  • Provide input and recommendations during program planning, problem-solving, policy development, personnel discussions, and operational decision-making as requested.
  • Participate in leadership meetings by providing operational feedback and assisting with implementation of organizational goals and initiatives.
  • Implement quality improvement plans and monitor progress toward classroom and site goals established by management.
  • Apply current research and best practices in Early Childhood Education, Human Development, Human Services to strengthen classroom quality, staff performance and program outcomes.

General Staff Responsibilities:

  • Fulfill the responsibilities of a mandatory reporter for Child Abuse and Neglect in accordance with TCLC policy and applicable state law.
  • Obtain and maintain enrollment in the Child Care Licensing Division Central Background Registry as a condition of employment. (Must be valid prior to first day of employment.)
  • Maintain strict confidentiality of employee, child, and family information in accordance with TCLC policies and applicable laws.
  • Respond appropriately to emergencies and crisis situations by following established program policies and procedures.
  • Contribute to a safe, clean, organized, and welcoming environment for children, families, staff, volunteers, and visitors.
  • Communicate professionally, respectfully, and effectively with children, families, coworkers, community partners, and the public through verbal, written, electronic, and in-person communication.
  • Maintain professional appearance and conduct consistent with agency expectations.
  • Demonstrate reliability by maintaining regular attendance, punctuality, flexibility, and meeting established deadlines.
  • Support and uphold the mission, vision, values, policies, and procedures of TCLC.
  • Participate in ongoing professional development and complete all required training, certifications, and continuing education applicable to the position.
  • Perform other duties, responsibilities, projects, and assignments as requested or assigned by management.
Requirements:

Educational Requirements:

AA/BA in Early Childhood Education

Experience and Skill Requirements:

  • 3 years of classroom teacher experience in an early childhood facility.
  • Supervision and coaching experience preferred.
  • General office experience and ability to operate office machines, understand general office procedures, and strong knowledge of Microsoft Office and ease in adaption to new technology.
  • Interpersonal, communication, facilitation, and conflict mediation skills.
  • Must be flexible, well-organized, and able to manage different projects concurrently and often under pressure; with the ability to set priorities and manage time effectively.
  • Fluent in English both verbally and written.
  • Ability to attain SmartTeach Interrater Reliability within 90 days; CLASS certification obtained within 6 months. Certifications must be maintained for job position.

The following certifications, as applicable to the position, must be obtained and maintained throughout employment:

Food handler’s card

First Aid/CPR Certification

Any additional certifications or licenses required by federal, state, licensing, funding, or agency requirements.

  • Using visual, auditory, verbal, and other abilities to ensure the health, safety, and supervision of children and the work environment.
  • Performing routine cleaning and sanitizing tasks using approved cleaning equipment and products.
