Part-time, 20-29 hours/week, Monday-Friday
Clinic hours 8am-6pm
Occasional outreach activities may occur outside of normal schedule.
Benefited position after 60-day waiting period.
JOB SUMMARY:
Performs a wide variety of simultaneous clerical and public contact work according to established or predetermined methods or procedures. Undertakes special projects and tasks requiring work of a more independent nature as assigned or delegated.
PRIMARY RESPONSIBILITIES AND DUTIES:
- Receives the public, provides callers and visitors with information; refers questions to appropriate staff members as needed; makes routine appointments and inquiries by telephone or letter. Maintains clinic flow when necessary.
- Completes beginning and end of the day tasks such as retrieving messages from voicemail, verifying pharmacist availability, logging lab temps and ensuring WIC sign is out for day and in at night.
- Schedules appointments, pulls charts and maintains and reschedules missed WIC, FRHS, Immunization and Behavioral Health appointments. Maintains provider schedules and patient data in electronic health management system as directed.
- Determines program eligibility for WIC clients by assessing and verifying income, client identity and residency per USDA/WIC policy.
- Travels to off-site clinics as scheduled.
- Assists staff with projects and appointments as needed.
- Trained and competent in FRHS drug dispensing, performs direct services to clients, including but not limited to WIC vouchers, FRHS supplies.
- Accepts payment for program services, logs receipts of all funds received.
- Operates office machines and equipment, including time clock, computer and printer, copier and fax machine.
- Assembles brochures and informational packets.
- Assists with data entry, examples are: timesheets, trainings, appointments, deposits, survey information, looks up requested information on computer.
- Required attendance to staff meetings.
- Generates correspondence, routine reports and other office forms or memoranda from rough drafts, or following oral or written instructions.
- Files materials, searches files and retrieves information from files. Keeps track of termed charts and files and pulls them to be destroyed.
- Makes sure outgoing mail is taken for daily distribution. Takes special packages to Post Office or purchasing as needed. Picks up mail for distribution to offices.
OTHER DUTIES MAY INCLUDE:
- Updates and maintains reports such as daily dispensing (PDMP) reports.
- Monitors maintenance needs of equipment and requests maintenance/repair as needed.
- Be familiar with ordering supplies for the programs as requested.
- Responsible for ordering and coordinating pick-up of supplies.
- Assists in the completion of disposable agency inventory (Sharps disposal).
- Assists in Community Outreach such as Health Fairs, newspaper articles, and dissemination of posters.
- Assists billing coordinator as needed.
- Scanning for admin (Family Planning and Behavioral health charts).
- Vehicle maintenance (oil changes, minor maintenance)
EDUCATION:
- High School Diploma preferred.
EXPERIENCE:
- Two years of computer experience required.
- Prior non-profit experience preferred.

- Ability to communicate effectively using verbal and written communication skills.
- Flexible enough to work in a variety of situations and settings.
- The ability to empathize with and relate to consumers of behavioral health services.
- Able to listen and be respectful of other points of view.
- Be enthusiastic, assertive, and willing to challenge the status-quo, if necessary.
- Have a can-do attitude.
- Able to accept direction and supervision from authority figures.
- Be diplomatic when confronted with delicate issues and situations.
ESSENTIAL TECHNICAL MOTOR SKILLS:
- Must have the manual dexterity to operate a computer, and other office equipment necessary to fulfill job requirements.
- Ability to read and write English.
- Basic math required.
ESSENTIAL SENSORY ABILITIES:
- Must be able to use a variety of communications devices including telephones, computer, and fax machine to effectively perform requirements of the position.
